Job OverviewWe are seeking a dynamic and highly organized Administrative Assistant to join our team! Whether managing calendars, handling correspondence, or assisting with bookkeeping, your contributions will be essential in creating a positive and professional environment.Responsibilities<ul><li>Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy</li><li>Coordinate calendar management, scheduling appointments, meetings, and events with precision and attention to detail</li><li>Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace</li><li>Maintain organized filing systems&mdash;both digital and physical&mdash;to ensure easy retrieval of documents and records</li><li>Provide exceptional customer service by addressing inquiries promptly and supporting client needs effectively</li><li>Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and manage invoices</li><li>Support office management tasks such as ordering supplies, proofreading documents, and ensuring office equipment functions properly</li></ul>Experience<ul><li>Proven clerical experience in an office environment with strong organizational skills</li><li>Familiarity with office management procedures, including filing systems and calendar coordination</li><li>Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and productivity tools</li><li>Experience handling multi-line phone systems with excellent phone etiquette and customer support skills</li><li>Bilingual abilities are a plus to effectively communicate with diverse clients and team members</li><li>Prior experience as a medical or dental receptionist or personal assistant is advantageous but not required</li><li>Strong typing skills with high accuracy for data entry tasks; ability to proofread documents thoroughly</li><li>Knowledge of bookkeeping practices using QuickBooks or similar software is desirable</li></ul>Join us to be part of a vibrant team dedicated to excellence in office administration!
