This paid position offers an exciting opportunity to develop your administrative expertise while supporting a vibrant team.Responsibilities<ul><li>Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly</li><li>Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently to appropriate departments or personnel</li><li>Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness</li><li>Maintain organized filing systems, data entry records, and manage document proofreading to ensure clarity and professionalism</li><li>Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software</li><li>Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies inventory</li><li>Provide exceptional customer service by addressing inquiries, supporting client needs, and offering assistance with a positive attitude</li></ul>Skills<ul><li>Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools</li><li>Excellent organizational skills with the ability to multitask effectively in a fast-paced environment</li><li>Previous office or administrative experience is preferred; experience as a medical or dental receptionist is a plus</li><li>Bilingual abilities are highly desirable to serve diverse clients and visitors effectively</li><li>Knowledge of multi-line phone systems, data entry techniques, filing procedures, and calendar management tools</li><li>Exceptional phone etiquette with clear communication skills and professional demeanor</li><li>Ability to perform typing tasks efficiently while maintaining accuracy; proofreading skills are beneficial</li><li>Customer support experience demonstrating patience, empathy, and problem-solving capabilities</li><li>Familiarity with office management practices such as bookkeeping (QuickBooks), clerical procedures, and time management techniques</li></ul>This role is perfect for motivated individuals eager to contribute to a welcoming environment while sharpening their administrative skills.
