Record KeeperJob DescriptionDepartment: Medical Records Reports To: HOD/Accounts ManagerJob SummaryThe Record Keeper is responsible for maintaining, organizing, and safeguarding patient and hospital records. Account Officer

Job Title: Fixed Asset &amp; Inventory Control Executive (Healthcare Sector)Key Responsibilities1. Fixed Asset Management<ul><li>Maintain and update the Fixed Asset Register (FAR) for all medical and non-medical equipment.</li><li>Coordinate asset tagging (barcoding/RFID) and ensure traceability across all departments.</li><li>Perform periodic physical verification of assets and reconcile variances.</li><li>Monitor asset condition, depreciation schedules, and useful life in compliance with accounting policies.</li><li>Coordinate asset acquisitions, transfers, disposals, write-offs, and auction processes.</li><li>Support annual external and internal audits with required asset-related documentation.</li></ul>2. Inventory Control<ul><li>Manage inventory levels of medical supplies, pharmaceuticals, consumables, and general store items.</li><li>Track inventory movement using ERP or hospital information systems (HIS).</li><li>Conduct regular and cycle inventory counts; investigate and resolve discrepancies.</li><li>Ensure proper storage, handling, and expiry management of medical consumables.</li><li>Optimize stock levels to avoid stockouts or overstocking based on consumption patterns.</li><li>Collaborate with procurement and pharmacy for restocking and demand planning.</li></ul>3. Compliance &amp; Documentation<ul><li>Ensure adherence to healthcare regulations, safety standards, and internal SOPs.</li><li>Maintain comprehensive documentation for assets, inventory transactions, and audits.</li><li>Support implementation of quality standards (e.g., JCI, NABH, ISO) relevant to asset and inventory control.</li><li>Ensure proper documentation of equipment calibration, maintenance, and AMC/CMC records.</li></ul>4. System &amp; Process Management<ul><li>Utilize ERP/HIS modules for accurate data entry, reporting, and analysis (e.g., SAP, Oracle, Infor, Odoo).</li><li>Develop and update asset and inventory control workflows for operational efficiency.</li><li>Train department users on asset handling, inventory procedures, and system usage.</li><li>Identify gaps and recommend process improvements to reduce loss/pilferage and enhance traceability.</li></ul>5. Reporting &amp; Analysis<ul><li>Generate regular reports on asset status, inventory levels, depreciation, and consumption trends.</li><li>Analyse equipment utilization and advise on optimization opportunities.</li><li>Present audit findings, variance analyses, and process improvement metrics to management.</li></ul>Required Qualifications &amp; SkillsEducation<ul><li>Bachelor&rsquo;s degree in Accounting, Finance, Supply Chain, Business Administration, or equivalent.</li><li>Preferable: Certification in supply chain or asset management (e.g., CSCP, CIPS, CPIM).</li></ul>Experience<ul><li>3&ndash;5 years of experience in fixed asset management or inventory control.</li><li>Healthcare sector experience (hospital, diagnostic center, medical device company) preferred.</li><li>Hands-on experience with ERP systems and asset/inventory modules.</li></ul>Technical Skills<ul><li>Strong Excel/ERP/HIS proficiency.</li><li>Knowledge of asset tagging methods (barcode, RFID).</li><li>Understanding of depreciation methods and basic accounting fundamentals.</li><li>Familiarity with medical equipment categories and consumable management.</li></ul>Soft Skills<ul><li>Strong analytical and problem-solving ability.</li><li>Excellent communication and coordination skills.</li><li>Detail-oriented with high accuracy.</li><li>Ability to work independently and under pressure.</li></ul>Job Type: Full-time
