The Technical Assistant is responsible for providing administrative and secretarial support for the Director, Managers, Clinical Coordinators and staff of one or more departments. including record and manual maintenance, establishing essential presentations and databases, extensive travel arrangements and first line interactions regarding internal/external customer concerns. 
 
Essential Job Functions 
<ul><li>Maintains department(s) databases, primary records, manuals, and reference materials. Duties include system maintenance and data integrity for multiple system applications which may reside on more than one information system.
</li><li>Designs and produces correspondence, memorandums, documents, forms, newsletters, reports, metrics, and data graphs for projects and programs based on needs identified by the staff and leadership for the department(s) and/or organization.</li><li>Provides administrative and secretarial support to Directors, Managers, Clinical Coordinators and their staff for one or more departments including receiving and assisting visitors/callers, file and record management, telephones, meeting preparation and minutes, etc.
</li><li>Coordinates functions for identified department staff including physicians if applicable. Duties may include but are not limited to:</li></ul>
 Coordinating and maintaining appointment calendars. 
 Arranging meetings and preparing agendas, meeting notices and presentation materials. 
 Attend and transcribe meeting minutes. 
 May monitor allocation of expenses to appropriate cost centers. 
 Obtaining special services as needed. 
 Appropriate supply maintenance. 
 Site, material, and equipment preparation for events, meetings, educational offerings and presentations. 
 May assist in collating and scheduling department evaluations for Director and Managers. 
 Responsible for arrangement, typing, distribution and maintenance/revision of Billings Clinic policies and procedures. Coordinates with management staff to revise policies and procedures (department-specific and hospital-wide). 
<ul><li>Coordinate with and assist Directors, Managers, Clinical Coordinators and their staff with travel arrangements including but not limited to:</li></ul>
 Research costs and assist with initial paperwork for request for travel. 
 Complete Billings Clinic Business Travel/Education Expense form, including estimated expenses. 
 Work with outside vendors to arrange approved travel expenses (i.e. hotel, airline reservations, registration). 
 Obtain necessary signatures for approval; submit expense forms to accounting to request pre-payment of approved hotel, airline, and registration expenses. 
 Complete &ldquo;Actual Expenses&rdquo; portion of the Billings Clinic Business Travel/Education Expense form. Submit airline ticket stubs, detail of hotel charges, and receipts for reimbursable expenses to Accounting and other entities if applicable.

<ul><li>1 year of progressive experience in coordinating activities and information/data maintenance preferably in a health care field. Prior experience must also have included interactive responsibilities with staff and public.</li></ul></div>

The incumbent in this position is responsible for collecting and preparing specimens for laboratory analysis. Accurately obtains blood samples via venipuncture and capillary collection procedures with minimum patient discomfort. Ensures age-appropriate care is provided to patients from infant to geriatric. Ensures specimen integrity by following the laboratory&rsquo;s procedures for specimen collection, handling, and processing. Promotes quality patient/client relations and creates supportive climate. Respects and maintains the confidentiality of information relative to the laboratory. Adheres to all laboratory policies and regulations.
This position may be eligible for a sign on incentive.
Essential Job Functions<ul><li>Collects and prepares patient specimens to include blood, urine, sputum, and cultures. Coordinate specimen collection with physicians and/or nursing staff when draws must be taken from patients with central lines, groshong catheters and IV assisted draws.</li><li>Adhere to established guidelines and procedures for accurate patient and specimen identification, identifying non-compliance situations and take the necessary steps to bring situation into compliance.</li><li>Utilize computerized systems to enter laboratory orders, patient charges, generate reports, answer inquiries and resolve problems.</li><li>Coordinate with physicians, nursing staff and other health care providers for clarification of orders, laboratory tests available, test result turnaround times, and for coordination of laboratory special procedures involving other health care providers.</li><li>Refers questions regarding types of tests being performed and other aspects of care to the appropriate health care provider. Provides instructions to patients regarding specimen collection to be completed in the home environment. Coordinate with patients and physicians regarding collection errors and initiate appropriate follow-up measures to correct errors.</li><li>Provide back up to laboratory positions on days, evenings, nights, weekends, and holidays and as needed. Duties include answering phones, requisition entry, routing patient orders, e.g., add-on orders, and preparation of specimens for testing.</li><li>Maintains an adequate inventory of supplies and a neat, orderly and clean work area.</li><li>Identifies needs and sets goals for own growth and development; meets all mandatory organizational and departmental requirements.</li></ul>

Responsible for coding and abstracting diagnoses and procedures from patient charts using ICD-CM, ICD PCS and/or CPT-4/HCPCS codes for statistical and reimbursement purposes for all Billings Clinic inpatient and outpatient services. Alternatively, since Billings Clinic is an integrated delivery system, responsible for auditing or assigning CPT and E&amp;M codes to clinic encounters by reading dictation, reviewing problem lists and intake forms, capturing primary and secondary ICD-CM diagnoses, adding HCPCS modifiers where necessary and verifying units of service for pharmacy items and supplies. Queries physicians to clarify clinical documentation. Educates physicians either concurrently or after-the-fact on coding and documentation and serves as an on-site resource for providers and staff. Calculates the MSDRG and APR- DRG. Ensures adherence to all Billings Clinic and regulatory compliance policies and procedures governing medical records coding, billing and reimbursement.<div>
Essential Job Functions 
<ul><li>Maintains detailed knowledge of and ensures adherence to all applicable Billings Clinic and regulatory compliance policies/procedures governing medical record coding, insurance billing, and reimbursement methodologies in all aspects of the job. Actively seeks out clarification and/or updated information to ensure most current guidelines are followed.</li></ul>
Review of medical records for documentation to identify the principal diagnosis and/or procedure and all applicable secondary diagnosis and procedures 
Assigning the appropriate ICD-CM and/or CPT-4/HCPCS codes for each encounter utilizing ICD-10 and CPT-4 reference tools. 
Utilizing the computerized encoding system and/or coding books to facilitate accurate coding and sequencing of diagnosis and procedures by following all regulatory compliance policies and procedures governing medical records coding, billing and reimbursement.
 
<ul><li>Maintains or exceeds 95% coding accuracy based on audit findings.
</li><li>Maintains or exceeds department productivity standards for assigned areas of coding.
</li><li>Identifies and reports any regulatory or compliance concerns to Coding Resources Manager, Director and/or Billings Clinic Corporate Compliance Department.
</li><li>Ensures data accuracy prior to billing interface and claims submission. (i.e., discharge disposition, appropriate use of modifiers, CPT, ICD, performing provider, date of service, POA, NCCI and other coding and abstracting requirements).
</li><li>Collects data from the medical record to complete a discharge data abstract on each encounter for specialized studies.
</li><li>Communicate with physicians/Non-Physician Providers to provide coding and documentation education and feedback.
</li><li>Identifies needs and sets goals for own growth and development; meets all mandatory organizational and departmental requirements. Maintains knowledge of current information and technologies for coding and abstracting arena.

Minimum Qualifications
