With a strong presence across e-commerce, wholesale partners, and country club retailers nationwide, we are building a best-in-class fulfillment operation to match our premium brand experience.Position OverviewThe Fulfillment Manager is responsible for owning the entire fulfillment operation end-to-end&mdash;from inbound receiving to outbound shipping&mdash;ensuring that every order (DTC and wholesale) is accurate, timely, and reflective of the Bits &amp; Bows brand standard.This role requires hands-on leadership, retail fulfillment experience, and a zero-tolerance mindset for preventable errors. This is not a passive management role&mdash;this person will be deeply embedded in daily operations, team performance, and process improvement.Key Responsibilities1. Fulfillment Operations Ownership<ul><li>Oversee all daily fulfillment operations including:</li><li>Order picking, packing, and shipping (Shopify + wholesale)</li><li>Embroidery coordination (if applicable)</li><li>Returns processing</li><li>Ensure all orders ship within required timelines:</li><li>DTC: Same or next business day</li><li>Wholesale: Within agreed ship windows (typically &le; 2 weeks)</li></ul>2. Inventory Accuracy &amp; Organization<ul><li>Maintain near-perfect inventory accuracy across all SKUs</li><li>Oversee:</li><li>Receiving and bin placement</li><li>SKU labeling and bin organization</li><li>Cycle counts and discrepancy resolution</li><li>Enforce non-negotiables:</li><li>Every bin labeled</li><li>All backstock organized by style</li><li>No product stored in packing areas</li><li>Maintain a mapped warehouse system (like a retail stockroom)</li></ul>3. Team Leadership &amp; Accountability<ul><li>Manage, train, and supervise fulfillment associates</li><li>Set clear expectations around:</li><li>Speed</li><li>Accuracy</li><li>Attention to detail</li><li>Actively monitor performance:</li><li>Identify underperformance quickly</li><li>Address issues immediately with clear feedback</li><li>Implement productivity tracking when needed</li><li>Build a culture of ownership, urgency, and precision</li></ul>4. Quality Control (Brand Protection)<ul><li>Ensure all outgoing orders meet Bits &amp; Bows standards:</li><li>Clean, unwrinkled, properly packaged</li><li>Correct items, sizes, and personalization</li><li>Enforce QC standards for:</li><li>Hats (including protective covering for light colors)</li><li>Jewelry and accessories</li><li>Reduce preventable errors to near zero</li></ul>5. Process Development &amp; SOPs<ul><li>Create and maintain clear SOPs for:</li><li>Picking &amp; packing</li><li>Receiving</li><li>Inventory handling</li><li>Embroidery workflows</li><li>Continuously improve efficiency and accuracy</li><li>Implement systems that reduce reliance on memory and increase consistency</li></ul>6. Systems &amp; Tools<ul><li>Manage fulfillment workflows within:</li><li>Shopify</li><li>Shipping platforms (ShipStation, etc.)</li><li>Ensure accurate inventory syncing and order flow</li><li>Flag system or process gaps proactively</li></ul>7. Wholesale Fulfillment Excellence<ul><li>Ensure wholesale orders are:</li><li>Packed to retailer standards</li><li>Shipped on time with proper documentation</li><li>Maintain communication with internal team regarding any delays</li><li>Prevent missed ship windows at all costs</li></ul>Required Qualifications<ul><li>3&ndash;5+ years of fulfillment, warehouse, or retail operations experience</li><li>Must include retail or e-commerce fulfillment environments</li><li>Proven experience managing a team in a fast-paced setting</li><li>Strong understanding of:</li><li>Inventory systems and SKU management</li><li>Pick/pack workflows</li><li>Shipping and logistics</li><li>Demonstrated ability to:</li><li>Reduce errors</li><li>Improve operational efficiency</li><li>Hold team members accountable</li></ul>Preferred Qualifications<ul><li>Experience with Shopify fulfillment workflows</li><li>Experience with apparel, accessories, or soft goods</li><li>Familiarity with wholesale fulfillment requirements</li><li>Experience working in a growing brand or startup environment</li></ul>Key Traits for Success<ul><li>Extremely detail-oriented</li><li>High sense of urgency</li><li>Strong leadership presence (not passive)</li><li>Process-driven and organized</li><li>Solutions-oriented and proactive</li><li>Takes full ownership&mdash;no excuses, only results</li></ul>What Success Looks Like in This Role<ul><li>Orders ship on time, every time</li><li>Inventory is accurate and easy to locate</li><li>Warehouse is clean, labeled, and systematic</li><li>Team is efficient, accountable, and improving</li><li>Errors are rare&mdash;and quickly corrected at the root cause</li></ul>Job Type: Full-timePay: $55,000.00 - $75,000.00 per yearBenefits:<ul><li>Employee discount</li><li>Health insurance</li><li>Paid time off</li></ul>Work Location: In person
