Must have N2O and CPR certification.Description:The Clinical Lead Assistant Supports the Clinical Lead in daily operations, oversight tasks, training, and minor leadership responsibilities. Provides leadership to the clinical team and acts as a liaison between providers and the back office clinical team. The Clinical Lead Assistant supports efficient daily clinical operations while fostering a positive, team-oriented culture. This role ensures high-quality patient care in a clean, safe, and friendly environment for children and their families. In addition to patient care, the Clinical Lead Assistant supports consistency, communication, workflow, training, and clinical readiness.Preferred Knowledge, Skills, and Abilities:<ul><li>Knowledge of dental terminology and pediatric patient behavior guidance</li><li>Understanding of dental practice safety, OSHA, and HIPAA compliance</li><li>CPR and N2O certified</li><li>Strong organizational and communication skills</li><li>Ability to maintain effective rapport with patients, families, staff, and providers</li><li>Computer proficiency in practice and clinical software</li><li>Hospital or surgery center credentialing preferred, not required</li></ul>Essential Functions:<ul><li>Lead, support, and communicate effectively with clinical team members</li><li>Anticipate workflow and staffing needs to ensure smooth schedule flow</li><li>Rework and adjust daily clinical schedule to ensure adequate coverage</li><li>Act as a liaison between clinical team and doctors to support care and operational efficiency</li><li>Assist in training, mentoring, and onboarding clinical assistants at all levels</li><li>Promote a positive team culture and coordinate solutions when challenges arise</li><li>Assign daily room rotations and treatment assistants to support efficient patient flow</li></ul>DutiesTeam Development<ul><li>Helps manage daily flow of rooms, providers, and assistants.</li><li>Acts as point person when the Clinical Lead is unavailable.</li><li>Supports troubleshooting (flow issues, room readiness, supply gaps).</li><li>Assist in hiring and onboarding new clinical team members</li><li>Train and support all levels of dental assistants (including DA3 training support)</li><li>Assists with onboarding checklists and skills verification.</li><li>Assist in credentialing clinical staff for hospital/surgery centers</li><li>Develop and manage on-call and daily staffing schedules</li><li>Manage call-ins and adjust staffing based on patient schedule needs</li><li>Lead monthly back office meetings</li><li>Coordinate with doctors and business manager on practice leadership meetings</li><li>Document and report disciplinary actions when necessary</li><li>Helps relay updates, reminders, or workflow instructions to the clinical team.</li><li>Supports the Clinical Lead during meetings or huddles.</li><li>Partial leadership support.</li><li>Can direct tasks but not discipline or set policy.</li><li>Reports to the Clinical Lead.</li></ul>Clinical Operations<ul><li>Assign and manage daily treatment assistant schedule and room flow</li><li>Rework clinical schedule throughout the day as needed to maintain coverage and productivity</li><li>Resolve parent/patient care concerns when needed</li><li>Support implementation of updated clinical protocols</li><li>Manage downtime expectations and workflows</li><li>Assist providers during hygiene and operative procedures as needed</li><li>Ensure equipment maintenance schedules are followed and documented</li><li>Coordinate equipment repairs and communicate needs with vendors or service reps</li><li>Maintain compliance logs for equipment, sterilization, and safety checks</li></ul>Supply Maintenance<ul><li>Order and manage clinical supply inventory based on provider preferences and usage needs</li><li>Maintain KanBan system and update bins/levels as supplies change</li><li>Work with doctors regarding supply preferences, substitutions, and new product trials</li><li>Contact supply and equipment reps when support or troubleshooting is needed</li><li>Oversee maintenance of equipment, hoses, traps, and clinical systems</li><li>Track equipment repairs and timelines</li></ul>Financial<ul><li>Maintain and monitor monthly clinical supply budget</li><li>Upload receipts into accounting system (Divvy)</li><li>Compare vendors to ensure best-cost supply purchasing</li></ul>Records Management &amp; Compliance<ul><li>Maintain confidentiality of patient and employee information</li><li>Ensure OSHA and HIPAA compliance</li><li>Run and log weekly spore tests</li><li>Maintain emergency medication and equipment logs (AED, crash kit)</li><li>Update SDS sheets and emergency documentation</li><li>Ensure clinical team member certifications remain current (CPR, N2O, etc.)</li></ul>Physical Requirements:This role requires the ability to stand for extended periods, move freely throughout the clinic, and occasionally lift or move up to 30 pounds. The position involves regular bending, reaching, and manual dexterity for handling dental instruments and equipment. Clinical team members must also have strong fine motor skills to assist with patient care tasks, including operating dental instruments and managing supplies.Availability Requirements:Dental assistants and clinical team members are expected to work during regular office hours and may be required to adjust schedules to meet patient care needs. This can include early mornings, extended hours, or occasional weekend shifts to support patient flow and treatment schedules. Flexibility is essential to provide consistent, quality patient care.Compliance and Confidentiality:All clinical team members must adhere to OSHA and HIPAA regulations, ensuring a safe, clean, and confidential environment for patients and colleagues. This includes safeguarding patient information by following HIPAA protocols, practicing proper sterilization and infection control measures, and reporting any compliance or safety concerns to the designated compliance officer. Full commitment to these standards is required to maintain patient trust and meet the practice&rsquo;s regulatory obligations.
