Job Title: Senior Sourcing Analyst (Level 5)
 
Job Summary: 
FBT Procurement S2C is an integral part of how the BP business and functions operate. FBT Procurement S2C support delivery of functional strategies by driving efficiency and effectiveness. The FBT Procurement S2C team is part of the sourcing pillar and drives the way in which bp approaches the market to source third party supply, balancing efficiency and value drivers in line with category strategy.
 
This is an Individual Contributor role and will support various bp businesses with a range of sourcing, contracting and supplier performance management activities.
 
Working within a defined global process framework, this role will contribute to an enhanced Service Delivery Model around how bp manage costs through third-party contract agreements, and ensure maximum value is achieved. This role is encouraged to deliver value using the provisions of the Category Management Policy (CMP) and within boundaries of relevant laws and regulations, and approved budgets.
 
Key Accountabilities: 
Case Management
 
Receive, implement and continuously prioritize multiple project requests via the Case Management tool.
 
Strategy
 
Gather and analyze market intelligence data on a regular basis relative to supported categories and regions, to evaluate market and industry conditions to formulate the Sourcing strategies and decisions.
 Supplier Prequalification and Set-Up
 Perform Suppliers’ screening/prequalification and monitor/implement the process status as per the related guidelines.
 Handle the setup of transactional suppliers in P2P systems.
 
Sourcing Event Management
 
Handle the bidder selection process.
 Build case and liaise with Event Management team for sourcing projects & events (RFI/RFP/Auctions).
 Handle interactions and relationship throughout a sourcing project.
 Coordinate with business customer and Bidders to ensure Technical and Commercial Bid Evaluation performed in accordance with CMP and Regional/NOC requirements.
 Develop and acquire approvals for Award Recommendation document as per Governance Framework in respective regions.
 
Contracting and Conduct Negotiation
 
Use the appropriate contract template and develop the contract content based on the information contained in the Sourcing Strategy, sourcing event and/or detailed scope of work specifications.
 Negotiate relevant contract terms with suppliers, within the defined parameters of legal and category guidance.
 Conduct commercial benchmark analysis, develop negotiation plan and parameters, conduction negotiation for optimized commercial terms and conditions.
 Raise any contract term exceptions per the deviation process and handle the approval process.
 Draft and compile contract for execution, operationalize contract in system.
 
Award Contract Management
 
Ensure Contract is fit for purpose, valid and updated in the systems at all times. This will include the extension, amendment and close-out of Contracts based on request from Business.
 Resolve any dispute in invoice payments by proactively engaging with Suppliers and Accounts Payable team to ensure timely payment with complete compliance.
 Ensure Price-books are up-to date by adding/removing items based on agreements made with Business and Suppliers.
 
Essential Education: Bachelor’s degree.
 
Essential experience and skills: More than 5 years of experience
 
Proficient in English (oral and written) language.
 Proven knowledge and demonstrated ability in Capex projects, Engineering Services, Consultancies, Workforce services is desirable.
 Solid understanding of different contract templates including Contract drafting and negotiating contract deviations
 Good collaborator management skills.

2. Role Purpose
 
The Regional Inventory Accounting Analyst is responsible for the resolution of queries and reconciliation of refined products inventory. This includes a monthly reconciliation of exchanges, 3rd party terminals, pipelines, in transit bulk locations by comparing SAP transaction data to the custody / confirmation statement received from the 3rd party operator, performing the reconciliation, identifying reconciling items, and posting gains and losses. The Regional Inventory Accounting Analyst is responsible for the resolution of these outstanding reconciliation items and issues working closely with front office teams, settlement analysts, volume / transaction control staff and 3rd parties. This includes related storage and handling fees: validating and approving these in readiness for payment.

Key Accountabilities

 Perform the key jobs of settlement and PEC processes in JDE, ERP systems and other IC specific applications.
 With deeper insight, perform day today bank and Treasury account reconciliations identifying accurately the reconciling items, along with following up with multiple and appropriate stakeholders to resolve the reconciling items.
 Review and Support of Monthly/quarterly reconciliations of Intercompany accounts in Accounts Receivable/Accounts Payable - Ensure the integrity and accuracy of the various Intercompany and suspense account reconciliations

<li>There is a high financial and reputational risk involved in prompt and accurate payments and invoice processing. Payments and invoices processed to be reviewed thoroughly to ensure completeness and accuracy</li>

Key Accountabilities and Challenges: 
Accountable for accurate and timely transactional input validation and data entry from an invoice or service receiving document, such as a field ticket or timesheet, into an online Service Entry Sheet (SES) document in BP’s SAP ERP Backbone solution. Once accepted by BP, the SES provides confirmation of the services that have been performed by a supplier. The Service Entry Sheet Releaser verifies the acceptability of an SES thoroughly and then forwards it to the responsible business User for acceptance. Under certain process guidelines, the Service Entry Sheet Releaser may accept (release) the SES on the responsible user’s behalf.
 
Basic activities involved in an SES includes-
 o Validate the invoice against supporting documentation, e.g., field tickets, timesheets, etc, and create entry into SAP per defined process.
 o Validate BP Purchase Order or Contract line items and record each service as an SES line item.
 o Validate and record quantities of each service received for each SES line item.
 o Reject invoice in case of clear discrepancy with accurate business reasoning.
 o Release the SES in the workflow for acceptance by BP.
 o Ensure daily transactional processing targets and KPI are met.
 o Timely exception resolution and customer concern as per the process guidelines.
 o If exceptions are found, clearly document reasons and refer them to the appropriate responsible party, e.g., PO Buyer and Accounts Payable team for resolution.
 o Applies standard agreements and aligns with established purchase-to-pay processes.
 o Validate the invoices received from suppliers against the backup documentation provided, ensure appropriate authorizations (signatures, e-mails) exist on the backup documentation.
 o Identify and log materials/services/personnel on the invoice that do not have adequate or no backup documentation.
 o Based on established business rules for certain businesses, perform the SES release on invoices which match established criteria.
 o Work closely with the business collaborators to make the business users approves the SES and follow-up in case of delays in securing approval.
 
Expectations: 
High level of familiarity with the systems used to maintain and reconcile the relevant processes to ensure it balances correctly.
 There is a high financial and reputational risk involved in prompt and accurate SES creations and releasing. SES released and invoices verified to be reviewed thoroughly to ensure completeness and accuracy.
 SES to be created and verified in an accurate and timely manner within strict deadlines.
 Liaising with collaborators, colleagues, and vendors in different global time zones and potentially in different languages, requiring meticulous coordination between teams.
 Working hours (Europe/US shift) to support Business Partners.
 
Qualifications, Competencies & Approach: 
Essential Education & Experience-
 Bachelor’s degree in management, Business, Finance, Accounting, or related field.
 Minimum of 2 to 4 years of experience in Procurement operations and SES or GR operations.
 Strong knowledge of SES or GR Operations with good understanding of procurement and accounts payable practices.
 Experience of working cross culturally and in a Global environment.
 Knowledge to use of software applications like SAP, SRM and salesforce is an added advantage.
 Demonstrates basic understanding of overall Procure to Pay processes.
 Good command in MS office suite like outlook, teams, excel and word.
