<div>The Enrollment Specialist is responsible for processing descendant and missed-enrollee enrollment applications that contain sensitive information. Requires high level of customer service, exceptional attention to detail, ability to maintain confidentiality, accuracy and records integrity.
Qualifications &amp; Experience:
<ul><li>
2+ years of experience in records management, genealogy research, or document preservation.</li><li>
Experience with content management systems.</li><li>
Strong attention to detail with a high level of accuracy and ability to maintain confidentiality with sensitive information.</li><li>
Excellent written and verbal communication skills.
</li><li>Ability to work independently, manage tasks and meet deadlines.</li></ul>

Preferred Skills:
<ul><li>
Knowledge of Alaska Native family history, ANCSA shareholder records management or tribal enrollment procedures.
</li><li>Familiarity with federal and state records (e.g., BIA, Census, probate, tribal enrollment rolls).</li></ul>
Essential Duties &amp; Responsibilities:
<ul><li>
Participate in an orientation and training session to learn, retain, and provide detailed information about the Enrollment application and verification process and shareholder records functions.</li><li>
Successfully complete training as administrative user of the enrollment module with input and review permission.</li><li>
Provide high levels of customer service and support to current and potential Shareholders.</li><li>
Respond to enrollment eligibility inquiries, both verbally and in writing in accordance to established enrollment application and verification procedures.</li><li>
Accept applications and verification documents for Class C and Class D stock.</li><li>
Serve as a collaborative Team member as a first point of contact regarding the Enrollment Application and Verification process.
</li><li>Ensure scheduled and walk-in applicants are efficiently served with a target of accepting complete application data and verification documents in fifteen minutes or less.</li><li>
Advise applicants and/or their legal representatives of acceptable forms of verification documents to establish eligibility.
</li><li>Ensure self-service, paper, assisted, and web enrollment applications are fully completed and entered in a computer database with accuracy; verify required documents prior to scanning. Follow-up with applicants as necessary to obtain required verification documents with an emphasis on outreach and follow-up with aging in-progress applications.</li><li>
Perform accurate data entry when assisting prospective Shareholders to complete enrollment applications; verify required documents prior to scanning.</li><li>
Ensure supporting documents are returned to applicants after scanning into the enrollment module.</li><li>
Refer sensitive and complicated applications to Supervisor.</li><li>
Batch upload application data when collecting data and documents where internet access is not available.
</li><li>Receive and route personal data updates to shareholder records staff as requested by current Shareholders.</li><li>
Generate and review email and/or phone reports to confirm daily performance targets are met and propose to the Senior Enrollment Lead team any specific solutions for areas requiring intervention, problem solving, or improvement.</li><li>
Number of complete enrollment applications received by Team by location/mode (online, paper, assisted) and each Enrollment team member</li><li>
Location and contact information for enrollment applicants with missing verification documents / incomplete applications for follow-up</li><li>
Number of applications accepted/rejected by Team within 10, 30, 45, 60, and 90 days
</li><li>Number of days to return original application verification documents to applicants
</li><li>May assist with shareholder enrollment and outreach events, with occasional travel.</li></ul>
