What You'll Be Doing
</b></div><div>The Medical Office Front Desk Coordinator is responsible for managing the front office, triage phone calls, scheduling, billing, filing and assisting with data entry and registration. A successful candidate will have good organizational skills and the ability to effectively communicate.</div><div><b>
Essential Duties and Responsibilities:</b></div><ul><li>
Completes office activities such as filing, telephone answering techniques, preparation of documents, record retention, duplication, faxing, mail distribution, and ordering of supplies.</li><li>
Daily Tasks include, but are not limited to: confirming appointments, verify insurance, verify I.D. of each patient, pre-authorizations, no auto RX refills without Doctor&rsquo;s permission, problem log, return phone calls, patient paperwork to be completed within 72 hours, patients are seen in order of scheduled appointment.</li><li>
Composes and prepares correspondence, invoices, reports, presentations and maintains appropriate files.</li><li>
Maintains and stocks supplies in designated areas; checks equipment for proper function, as assigned, and reports malfunction promptly.</li><li>
Prepares patient charts as required and has all proper consents signed. (Non-Clinical)</li><li>
Appropriately schedules appointments and meetings.</li><li>
Addresses patient complaints in a timely and effective manner</li><li>
Keeps in constant communication with Office Manager and Senior Practice Manager.</li><li>
Provides administrative and clerical support when necessary.</li><li>
HIPAA Compliance &ndash; complies with all of the Privacy and Confidentiality Policy and Procedures outlined in the &ldquo;Privacy, Security and Confidentiality Agreement.</li><li>
Participates in department&rsquo;s quality improvement plan.</li><li>
Maintains patient confidentiality and complies with HIPAA regulations</li><li>
Correctly schedules patient into EMR and bills appropriately.</li><li>
Acts as a messenger, when required</li><li>
Organizes the center&rsquo;s calendars and is the liaison between medical professionals and patients.</li><li>
Other duties as assigned.</li></ul>
What We're Looking For:
<ul><li>High School Diploma or Equivalency</li><li>
2-3 Years Medical Office experience required; OB experience preferred</li><li>
Bilingual English/Spanish</li><li>
Basic working knowledge of Microsoft Office (WORD, EXCEL)
</li><li>One (1) year of experience in customer service or reception, preferably in a health care environment.</li><li>
Prevents, calms, or defuses irate callers and patients by working with them to identify concerns and properly directs calls.</li><li>
Knowledge of medical terminology and organization services.</li><li>
Outstanding verbal and written communication skills, customer service skills, phone etiquette and works well in a fast-paced dynamic atmosphere.
</li><li>Team-oriented mentality.</li><li>
Ability to multi-task and work independently while being detail oriented.</li><li>
Displays extraordinary customer service skills in person, telephone and written communications.</li></ul>

Responsibilities include heavy calendar management for multiple executives, coordination of meetings and priorities, and handling sensitive information with discretion. The role requires exceptional communication and interpersonal skills. Responsibilities</b></div><ul><li>Operates independently in the absence of the President. Acts, on behalf of the President, based upon guidance and input. Performs a variety of activities relating to internal operational and policy issues.</li><li>Maintains an awareness of the President&rsquo;s and Principals&rsquo; weekly schedule. Provides guidance to others in material preparation. Conducts follow-up activities related to the President&rsquo;s meetings/activities and alerts the President to upcoming events as appropriate.</li><li>Operates independently in the absence of the President. Acts, on behalf of the President, based upon guidance and input. Performs a variety of activities relating to the internal operational and policy issues.</li><li>Accurately records and prepares minutes of Bayonne University Hospital meetings using Word with accurate attention to detail and content. Gathers, prepares and mails packages to the Board of Directors and Professional Affairs Committee in a timely fashion.</li><li>Accurately transcribes minutes of the Committees of the Board of Trustees using Word with accurate attention to detail.</li></ul>
Handles travel and hotel arrangements.<br>
<ul><li>Screens phone calls and visitors. Provides information to callers requiring a general knowledge of the department.</li><li>Customarily and regularly exercises discretion and independent judgement in all assigned duties.</li><li>Opens and reviews the President&rsquo;s mail. Composes responses to routine inquiries, determines which items can be delegated to subordinate personnel, and forwards appropriately.</li><li>Types and proofread correspondence, reports and protocols from rough drafts as necessary. Prepares overheads and charts for presentation.</li></ul>
Demonstrates good judgement in screening all incoming calls (internal and external).<br>
<ul><li>Maintains a neat, professional, personal appearance at all times.</li></ul>
Anticipates needs of the President with respect to meeting arrangements, scheduling, agenda items and acts independently with respect to same.<br>
Retrieves appropriate information for the President in advance of scheduled meetings as necessary.<br>
<ul><li>When needed, attend meetings to gain knowledge and understanding of issues at hand.</li><li>Conducts follow-up activities and alerts President to up-coming events as appropriate.</li><li>Assists in the preparation of the Annual Budget for the Administrative area and monitors compliance.</li><li>Maintains awareness of By-laws and related documents.</li><li>Plans logistically all aspects of the Board of Directors annual Board Retreat.</li><li>Interacts with management staff of affiliated corporation regarding matters related to a variety of issues.</li><li>Establishes good rapport and cooperative working relationships with all Medical Center personnel.</li><li>Routinely assists VPs, Department Heads and consultants with tasks when asked.</li></ul><br>

What We're Looking For:

Qualifications</b></div><br>

High School Diploma required; Professional Certificate or bachelor&rsquo;s degree preferred.</li><li>
5&ndash;10 years of Executive Assistant or senior administrative support experience required; healthcare or hospital environment preferred.</li><li>
Proficient in Microsoft Office suite</li><li>
Experience in managing multiple priorities, administrative coordination, and logistics</li><li>
Well-organized, detail-oriented, ability to multi-task with great follow-up skills</li><li>
Strong written and verbal communication skills</li></ul><div></div><div><b><br>
Working Conditions:</b> Prolonged and frequent use of a computer and extended periods of close visual contact with a computer monitor.</div>
