We are currently seeking a highly organized and detail-oriented E-Filing and Probate Docketing Specialist to join our team. The ideal candidate will have strong administrative skills, accuracy, and the ability to work effectively in a fast-paced legal environment. This is a full-time position, working in the office M-F.DUTIES AND RESPONSIBILITIES<ul><li>Assist in the coordination, management and maintenance of the firm&rsquo;s probate docket, including maintaining attorney&rsquo;s calendars for hearings, trials, motions and other deadlines.</li><li>Use of the proprietary software that creates the docket and sends information to appropriate calendars according to policies and procedures in line with our professional liability coverage requirements.</li><li>Knowledge and compliance with federal, state and local court rules and deadlines for e-filing.</li><li>Ability to work numerous files and cases at the same time.</li><li>Proofread for contextual, grammatical, typographical, or spelling errors.</li><li>Edit correspondence, memoranda, and court filings.</li><li>Identifies, collects, analyzes, organizes, and maintains facts and documents in accordance with correct legal practice and procedure.</li><li>Prepare, review, and submit probate pleadings, motions and other legal documents with the court daily by e-filing or in person when required.</li><li>Confirms filing requirements and fees prior to submitting all pleadings for filings or documents for recordings.</li><li>Tracks the delivery of all notices and the return of all waivers and consents necessary to accompany a particular court filing.</li><li>Proactively seeks extensions of filing deadlines when prospect of meeting a deadline becomes questionable.</li><li>Maintain accurate records of all filed documents and correspondence.</li><li>Scans and saves all new information to the client file daily.</li><li>Conduct status checks and updates to docket and maintain records of the same.</li><li>Provide positive contact with clients, courts, attorneys, legal staff and service providers. Returning calls and emails the same day and keeping everyone informed of all case developments.</li><li>Review and process court orders, citations, subpoenas, and notices.</li><li>Send and retrieve documents via Right Signature and Sharefile.</li><li>Assist in following and updating standard organizational operating procedures for docketing and probate workflows.</li><li>Keeps notary certificate current and performs notary duties when requested.</li><li>Serve as a backup to safekeeping and receptionist as needed.</li><li>Assist with ad hoc projects that may arise as needed.</li></ul>QUALIFICATIONS<ul><li>Associate or bachelor's degree preferred</li><li>Self-motivated &ndash; a team player who collaborates well with other team members but can take ownership of responsibilities</li><li>Highly organized and strong attention to detail.</li><li>Excellent interpersonal and communication skills.</li><li>Proficiency in court filing systems and legal software.</li><li>Knowledge of federal, state, and local court procedures.</li><li>Proficient with Word, Excel and Outlook.</li><li>Analytical thinking and problem-solving skills.</li><li>Ability to operate standard office equipment, including phone, computer, copier, scanner, etc.</li><li>Proficiency with certified mail.</li><li>Ability to travel to private and public buildings, locally and statewide, via private or public conveyance to assist attorney in attending to client needs on legal matters.</li><li>Positive contributor to CPM team culture &ndash; possesses a do whatever it takes attitude</li><li>Comfortable working in a high-volume, fast-paced environment</li></ul>PHYSICAL REQUIREMENTS<ul><li>Prolonged periods of sitting at a desk.</li></ul>Job Type: Full-timeBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Employee assistance program</li><li>Health insurance</li><li>Life insurance</li><li>Paid time off</li><li>Parental leave</li><li>Vision insurance</li></ul>Work Location: In person
