 JOB SUMMARY
 
 
 
 We&rsquo;re looking for a detail‑driven, proactive Logistics Coordinator who thrives on connecting the dots, managing many moving parts, and thinking several steps ahead. In this role, you&rsquo;ll coordinate print production and installation schedules, manage pick‑ups and deliveries, handle subcontractor communication, and keep every project aligned across departments.
 
 
 If you excel at balancing tact with firmness, safeguarding the schedule, and pushing projects through roadblocks, this role will feel like the right fit.
 
 
 
 
 
 
 PRIMARY RESPONSIBILITIES
 
 
 
 1. Scheduling &amp; Workflow Coordination
 
 <ul>
 <li>
 Use capacity tools to schedule work across Manheim and Smoketown
 </li>
 <li>
 Review and prioritize the scheduling queue; assign due dates for decals, signs, and vehicle projects
 </li>
 <li>
 Communicate schedule changes to internal teams and clients
 </li>
 <li>
 Anticipate and resolve conflicts to ensure on‑time completion
 </li>
 </ul>
 
 
 
 
 2. Job Creation
 
 <ul>
 <li>
 Review job queue, order details, and workflows for all project types
 </li>
 <li>
 Create accurate Job IDs, QuickBooks jobs, and ShopVox jobs
 </li>
 <li>
 Adjust workflow steps based on project specifics (design vs. repeat vs. specialty)
 </li>
 </ul>
 
 
 
 
 3. Pick Up &amp; Delivery Coordination
 
 <ul>
 <li>
 Coordinate pick‑up and delivery requests with clients and drivers
 </li>
 <li>
 Assign drivers based on vehicle class requirements
 </li>
 <li>
 Schedule and update driver assignments in QuickBooks Time
 </li>
 <li>
 Provide clear day‑of direction to ensure smooth vehicle movement
 </li>
 </ul>
 
 
 
 
 4. Subcontractor Coordination
 
 <ul>
 <li>
 Identify needs for outside services and select appropriate subcontractors
 </li>
 <li>
 Schedule and communicate project details and timelines
 </li>
 <li>
 Initiate POs and document subcontracted work
 </li>
 <li>
 Align subcontractor timelines with internal schedules
 </li>
 </ul>
 
 
 
 
 5. Administrative &amp; Communication
 
 <ul>
 <li>
 Lead daily morning huddle and afternoon scheduling meeting
 </li>
 <li>
 Maintain accurate information in ShopVox, QuickBooks, and the Capacity Gauge
 </li>
 <li>
 Document schedule changes and client updates for cross‑team visibility
 </li>
 <li>
 Monitor boards and resolve data discrepancies
 </li>
 </ul>
 
 
 
 
 
 EXPERIENCE
 
 
 <ul>

 Experience in scheduling, dispatching, customer service, or operations coordination
 </li>
 <li>
 Strong verbal and written communication; comfortable leading quick team meetings/huddles
 </li>
 <li>
 Proven ability to problem‑solve and handle shifting priorities
 </li>
 <li>
 Accurate administrative and data‑entry skills using scheduling or workflow systems
 </li>
 <li>
 Solid organization and multitasking abilities in fast‑paced settings
 </li>
 <li>
 Basic understanding of costs, vendors, or purchase order processes
 </li>
