<div>Father Gabriel Richard High School seeks a mission-driven, organized, and collaborative leader to serve as Athletics &amp; Community Events Assistant. This position provides administrative support to the Athletic Director in the oversight and daily management of the school&rsquo;s interscholastic athletic program. The Athletics &amp; Community Events Assistant plays a vital role in promoting excellence, integrity, and sportsmanship while ensuring efficient operations that serve student-athletes, coaches, and families. In addition, the position serves as event manager for FGR&rsquo;s community events.</div>
<div></div><div>The ideal candidate demonstrates strong initiative, high organizational capacity, remarkable attention to detail, and a notable commitment to Catholic education. This role requires flexibility, professionalism, and the ability to manage multiple responsibilities in a dynamic school environment.</div>
<div></div><div>The Athletics &amp; Community Events Assistant reports directly to the Athletic Director.</div>
<div></div><div><b>Primary Responsibilities:</b></div>
<div><b>Athletics</b></div>
<div><i>Scheduling &amp; Event Management</i></div>
<ul><li><i>Coordinate practice and competition schedules;</i></li>
<li>Confirm contests with opposing schools;</li>
<li>Oversee transportation scheduling for athletic events;</li>
<li>Prepare early dismissal lists and event communication;</li>
<li>Assist with game-day operations and event supervision;</li>
<li>Schedule FGR summer camps and ensure proper communication is made to participant families; and</li>
<li>Work with the Booster Club and Event Coordinator to assist with various events, including the Green &amp; White Night, the Irish Invitational, Trivia Night, etc.</li>
</ul><div><i>Coaching Support &amp; Personnel Management
</i></div><ul><li>Assist with the onboarding of coaches;</li>
<li>Maintain coach personnel files and database records.</li>
</ul><div><i>Financial &amp; Operational Support</i></div>
<ul><li>Assist with budgeting and financial tracking;</li>
<li>Process referee payments and related documentation.</li>
</ul><div><i>Communication &amp; Promotion</i></div>
<ul><li>Ensure timely and accurate updates to the athletic website;</li>
<li>Support athletic social media promotion and community engagement.</li>
</ul><div><i>Athletic Program Administration</i></div>
<ul><li>Assist the Athletic Director and Booster Club in the inventorying, ordering, and reconciling of the Spirit Wear Shop; staff the Spirit Wear Shop as needed;</li>
<li>Support the implementation of departmental policies and procedures;</li>
<li>Ensure compliance with league and state athletic association regulations;</li>
<li>Conduct student-athlete eligibility verification.</li>
</ul><div><i>General Administrative Duties</i></div>
<ul><li>Provide support for athletic office operations as needed; and</li>
<li>Perform other duties as assigned by the Athletic Director.</li>
</ul><div><b>Community Event Planning</b></div>
<ul><li>Assist in the planning and executing of FGR&rsquo;s annual community events including, but not limited to: Green &amp; White Night, Open Houses and new student welcome events, Grandparents Day and Veterans Day receptions, staff retreats, and student recognition ceremonies and events (e.g. honors convocations, graduation events, etc.);
</li><li>Ensure all logistics (e.g. location, d&eacute;cor, food &amp; beverage, invites, promotions, seating, A/V, program, setup and cleanup) are covered;
</li><li>Work with the facilities team to ensure proper setup and teardown;
</li><li>Coordinate details with vendors/caterers/venues;
</li><li>Ensure events stay within budget and that all expenses are tracked and all invoices paid in a timely manner; and</li>
<li>Debrief events to celebrate victories and capture areas for improvement.
</li></ul><div><b>Required Skills and Experience:</b></div>
<ul><li>Bachelor&rsquo;s degree;
</li><li>Minimum of two years&rsquo; experience providing administrative assistance in a fast-paced professional environment;</li>
<li>Proven ability to plan and execute well-run events for up to 200 people;</li>
<li>Prior experience in athletic administration, coaching, or related educational leadership role preferred;</li>
<li>Working knowledge of high school athletic operations;</li>
<li>High proficiency in Microsoft Office Suite and database management systems;</li>
<li>Demonstrated leadership, communication, and organizational skills; and</li>
<li>Ability to work flexible hours, including evenings and weekends.</li>
