Job SummaryWe are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial management across multiple related entities. You will play a key role in maintaining financial records, managing client and vendor communications, and supporting daily office functions to foster a productive and welcoming environment.Responsibilities<ul><li>Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations</li><li>Maintain accurate financial records through diligent data entry and meticulous record keeping</li><li>Handle multi-line phone systems with professionalism, providing exceptional customer service and support to clients and vendors</li><li>Assist with office management duties such as filing, document proofreading, and organizing spreadsheets using Microsoft Office tools</li><li>Support front desk operations by greeting visitors, managing appointments, and coordinating calendar schedules</li><li>Respond to client inquiries via phone and email, ensuring clear communication and prompt resolution of issues</li><li>Perform general clerical tasks including word processing, typing, and maintaining organized filing systems to enhance office productivity</li></ul>Qualifications<ul><li>Proven experience with office management, administrative support, or clerical roles in a professional environment</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks</li><li>Experience using QuickBooks or similar accounting software for bookkeeping functions</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting</li><li>Bilingual abilities are a plus to support diverse client interactions</li><li>Exceptional phone etiquette and customer service skills for front desk and client communication responsibilities</li><li>Demonstrated ability to handle multiple responsibilities simultaneously while maintaining accuracy and attention to detail</li><li>Prior experience as a personal assistant or in calendar management is advantageous</li></ul>Join us in this exciting role where your organizational skills and technical proficiency will directly contribute to our success!
