 Summary
 
 
 
 The Program Assistant is a critical member of the PHL Taking Care of Business (TCB) team, supporting the success of the team in creating impact for Philadelphians through the TCB program. The Program Assistant assists the PHL Taking Care of Business team in fulfillment of their tasks and completes administrative details as assigned in furtherance of the goals of the program and the Commerce Department.
 
 
 
 Essential Functions
 
 
 
 <ul>
 <li>
 Assist with meeting scheduling in support of the Deputy Director and the TCB Team as a whole.
 </li>
 <li>
 Provide support, including database and file management, reports, and recommendations for program efficiencies on all PHL Taking Care of Business programs.
 </li>
 <li>
 Maintain a contact database within the Quickbase work platform, including data entry and cleanup, entering contacts and business information, and entering/cleaning data specific to PHL Taking Care of Business programs.
 </li>
 <li>
 Coordinate onboarding of new staff including scheduling desk detailing, ensuring computers and supplies are available.
 </li>
 <li>
 Serve as contact person for PHL Taking Care of Business programs.
 </li>
 <li>
 Assist PHL-Taking Care of Business program staff to coordinate workforce development participant progress tracking and certifications, using Quickbase and other tools.
 </li>
 <li>
 Manage Commerce vehicle(s) by coordinating with Office of Fleet Management for servicing and repairs.

 Manage incoming and outgoing mail.
 </li>
 <li>
 Assist staff with travel coordination, reimbursements, and event expenses.

 Gathers information for staff presentations.

 Preparing project presentations and reports using all appropriate software.

 Minimum of five years advanced level clerical or administrative experience. An Associates or Bachelor's Degree may be substituted for two years of experience.

 Familiarity with web-based databases or Customer Relationship Management platforms is essential.
 </li>

 Proficiency in Microsoft Suite products. MS Word and Excel are essential.

 Ability to communicate and/or experience working with ethnically and economically diverse population

 The Affirmative &amp; Special Litigation Unit develops and asserts affirmative claims on behalf of the City in furtherance of public policy objectives and, where appropriate, to enforce the rights of Philadelphia residents. The Unit represents the City and its officials in commercial and property-related litigation, as well as in cases involving challenges to City powers and ordinances, consumer protection and worker protection laws, and certain state and federal constitutional and civil rights claims. The Unit also supports the Philadelphia County Board of Elections and the City Commissioners in administering elections in Philadelphia as well as representing them in all election law-related litigation. The Unit provides proactive legal advice and prelitigation counseling (including alternative dispute resolution) to numerous City officials and departments. The Unit&rsquo;s cases are filed in both the federal and state courts.  The position of Deputy City Solicitor in the Affirmative &amp; Special Litigation Unit requires an attorney experienced in civil litigation matters capable of managing and handling individual cases on their own. This position will include handling and overseeing litigation including counseling and advice related to elections in Philadelphia.
 
 
 In addition, the Deputy City Solicitor is expected to execute on opportunities identified by Unit and Law Department leadership to advance the City&rsquo;s interests and improve and expand the work of the Law Department and the Unit. Unit members are expected to work collaboratively with other Unit and Law Department colleagues on all matters in a manner that reflects the Law Department&rsquo;s focus on fostering and maintaining a collegial, inclusive, and professional environment that values all forms of diversity.
