Summary &amp; Objectives
As an Assistant Property Manager II at Coastline Equity, you will play a pivotal role in delivering high-quality service and care to our tenants and supporting the property management team with daily operations. You will partner closely with a Senior Property Manager to ensure our properties are compliant, well-maintained, and efficiently operated. With a focus on tenant satisfaction, vendor coordination, and operational excellence, your work will directly impact the performance of the properties and the experience of our residents.

Key Responsibilities &amp; Functions
1. Tenant &amp; Vendor Communication<ul>
<li>Serve as a point of contact for tenant and vendor needs, ensuring all interactions reflect a Customer First attitude.</li>
<li>Respond to phone calls, voicemails, and emails promptly and professionally.</li>
<li>Handle after-hours and emergency on-call duties, providing responsive service during high-stress moments.</li>
</ul>2. Maintenance Coordination<ul>
<li>Collaborate with Senior Property Manager to ensure timely and high-quality maintenance services.</li>
<li>Bid, schedule, and follow up on all repair work, maintaining documentation in AppFolio.</li>
<li>Conduct move-in, move-out, and routine inspections to ensure habitability and safety.</li>
<li>Assist with vendor insurance documentation coordination and ensure vendors are approved for work.</li>
</ul>3. Tenant &amp; Rent Management<ul>
<li>Support rent collection processes including delinquency follow-ups and rental agreement enforcement.</li>
<li>Prepare and manage related documentation for proceedings when needed.</li>
<li>Help manage and verify rent rolls and ensure all tenant-related documentation is accurate.</li>
</ul>4. Administrative Operations<ul>
<li>Submit invoices for A/P processing, track vendor payments, and manage invoice-related documentation.</li>
<li>Maintain complete and accurate tenant, vendor, and maintenance files in AppFolio.</li>
<li>Oversee key tracking systems and ensure physical and digital organization is maintained.</li>
<li>Assist with scheduling appointments with prospective tenants, vendors, and internal teams.</li>
</ul>5. Technology &amp; Efficiency Improvements<ul>
<li>Leverage property management tools such as AppFolio for work order tracking, documentation, and calendar/task management.</li>
<li>Identify areas for process improvement through technology and workflow automation, including AI.</li>
<li>Stay current on industry-related systems and software updates.</li>
</ul>6. Collaboration &amp; Compliance<ul>
<li>Maintain a collaborative relationship with the Senior Property Manager and other departments.</li>
<li>Help ensure regulatory compliance, maintain clean and safe work areas, and support property safety practices.</li>
<li>Participate in internal initiatives to improve operations, documentation, and interdepartmental workflows.</li>

Required Qualifications<ul>
<li>2+ years of office experience working in an office or administrative setting.</li>
<li>3+ years of customer service experience in a fast-paced or high-volume environment.</li>
<li>Strong organizational and verbal/written communication skills.</li>
<li>Demonstrated ability to multitask and manage a full task list with prioritization.</li>
<li>Interest in real estate and obtaining a California Real Estate License within the two year.</li>
<li>Comfort with emergent and high-pressure situations, including emergency response.</li>
<li>Proficiency in Microsoft Office Suite.</li>
</ul>Preferred Qualifications<ul>
<li>Prior experience in property management, leasing, maintenance coordination, or inspections.</li>
<li>Familiarity with property management software, preferably AppFolio.</li>
<li>Understanding of rent collection processes, lease enforcement, and rental documentation.</li>
<li>Experience submitting A/P invoices and managing basic property-level reporting.</li>
<li>Basic knowledge of insurance documentation, work order labor tracking, or rental proceedings.</li>
