Commercial Refrigeration Service DispatcherJob DescriptionPosition SummaryA growing commercial refrigeration company is looking for a full-time Dispatcher who will be responsible for coordinating and scheduling service technicians to respond to commercial refrigeration service calls efficiently and professionally. This role serves as the primary communication link between customers, technicians, vendors, and internal departments to ensure timely response, accurate documentation, and high-quality customer service.The ideal candidate is highly organized, able to manage multiple priorities in a fast-paced environment, and comfortable handling urgent service situations for restaurants, cold storage facilities, supermarkets, food processing facilities, and other commercial clients.Essential Duties &amp; ResponsibilitiesDispatch &amp; Scheduling<ul><li>Coordinate and dispatch refrigeration service technicians for emergencies, warranty, preventative maintenance, and scheduled service calls.</li><li>Prioritize service requests based on urgency, customer needs, technician location, and skill set.</li><li>Monitor technician schedules and adjust assignments throughout the day as priorities change.</li><li>Maintain accurate technician status updates, including arrival times, job progress, and completion status.</li><li>Coordinate after-hours and on-call service coverage as needed.</li></ul>Customer Service<ul><li>Serve as the primary point of contact for service customers via phone and email.</li><li>Gather detailed information regarding equipment issues and service needs.</li><li>Communicate estimated arrival times and provide updates to customers regarding delays or schedule changes.</li><li>Maintain professional and courteous communication during high-pressure service situations.</li></ul>Work Order Management<ul><li>Assist with managing work orders within the service management system.</li><li>Verify that all service tickets include accurate labor hours, materials, equipment information, and job notes.</li><li>Ensure proper documentation for warranty claims, maintenance agreements, and invoicing.</li><li>Assist with service billing preparation and administrative follow-up.</li></ul>Coordination &amp; Communication<ul><li>Communicate with Service Managers regarding technician workload, customer concerns, and scheduling conflicts.</li><li>Coordinate with parts departments and vendors to confirm parts availability and delivery timelines.</li><li>Assist technicians with obtaining site information, customer contacts, and job-related documentation.</li><li>Support continuous improvement of dispatching processes and response times.</li></ul>Qualifications<ul><li>5+ years of dispatching, scheduling, or service coordination experience preferred.</li><li>Experience in commercial refrigeration, HVAC, mechanical contracting, or construction service industries strongly preferred.</li><li>Strong organizational and multitasking skills.</li><li>Ability to remain calm and professional in urgent or stressful situations.</li><li>Excellent verbal and written communication skills.</li><li>Proficiency in Microsoft Office and service dispatch software.</li><li>Ability to learn technical terminology related to refrigeration systems.</li></ul>Preferred Skills<ul><li>Knowledge of commercial refrigeration equipment or cold storage operations.</li><li>Experience with ERP or dispatch software such as ServiceTitan, FieldPulse, Sage, BuildOps, or similar platforms.</li><li>Understanding of technician routing and service prioritization.</li><li>Strong attention to detail and problem-solving abilities.</li><li>Bi-lingual in Spanish is a plus!</li></ul>Work Environment<ul><li>Fast-paced office environment with frequent phone and computer use.</li><li>May require occasional after-hours coordination or participation in on-call scheduling rotation.</li><li>Ability to manage multiple service emergencies simultaneously.</li></ul>Compensation &amp; Benefits<ul><li>Competitive salary based on experience</li><li>Health, dental, and vision insurance</li><li>Life insurance</li><li>401(k) with company match</li><li>Paid time off and holidays</li></ul>Why Join UsWe are a growing commercial refrigeration and mechanical service company dedicated to providing exceptional service to our customers.
