ColdTech Refrigeration is growing and hiring an Accounts Payable Manager for our Draper office.

In this role, you will oversee the full accounts payable function, manage day-to-day AP operations, lead process improvements, and help ensure financial accuracy across multiple business units.

What You&rsquo;ll Do
Accounts Payable<ul><li>Review invoices for accuracy, approvals, and supporting documentation</li><li>Manage documentation (ie. Certificate of Insurances) to ensure subcontractor compliance.</li><li>Code invoices to the correct GL accounts and enter into QuickBooks, Service Titan, NetSuite</li><li>Process weekly check runs and electronic vendor payments</li><li>Prioritize invoices based on due dates, terms, and discount opportunities</li><li>Reconcile vendor statements and resolve billing discrepancies</li><li>Audit and process company credit card statements</li><li>Maintain accurate AP files and payment records</li><li>Enter inventory/job cost information into ERP system</li><li>Assist with billing coordination and internal accounting support</li></ul>
Accounts Payable Leadership<ul><li>Manage the daily operations of the Accounts Payable department</li><li>Supervise AP staff, assign workloads, and provide training/support</li><li>Ensure invoices are processed accurately and paid on time</li><li>Oversee weekly check runs, ACH payments, and vendor disbursements</li><li>Monitor payment schedules, cash flow timing, and discount opportunities</li><li>Review invoice coding, approvals, and supporting documentation</li><li>Establish and enforce internal controls and approval procedures</li></ul>
Vendor &amp; Reconciliation Management<ul><li>Build strong vendor relationships and resolve escalated billing issues</li><li>Reconcile vendor statements and resolve discrepancies promptly</li><li>Maintain accurate AP aging and payment records</li><li>Manage W-9 collection and assist with annual 1099 preparation</li></ul>
Accounting &amp; Process Improvement<ul><li>Partner with leadership on month-end close related to AP accruals and reporting</li><li>Reconcile AP subledger to the general ledger</li><li>Identify opportunities to improve workflows, automation, and efficiency</li><li>Maintain organized digital records and documentation compliance</li><li>Assist with ERP system enhancements and AP best practices</li></ul>
Teamwork &amp; Communication<ul><li>Collaborate with project managers, operations leaders, and accounting staff</li><li>Communicate professionally with vendors, internal teams, and leadership</li><li>Foster a positive, accountable, solutions-focused environment</li></ul>
What We&rsquo;re Looking For
Required<ul><li>High school diploma or GED (Associate&rsquo;s or Bachelor&rsquo;s degree preferred)</li><li>5+ years of Accounts Payable experience</li><li>2+ years of AP lead, supervisor, or management experience</li><li>Strong understanding of AP controls, reconciliations, and payment cycles</li><li>Excellent organizational skills and attention to detail</li><li>Strong Excel and Microsoft Office proficiency</li><li>Ability to manage deadlines in a fast-paced environment</li><li>Professional communication and leadership skills</li><li>Ability to handle confidential information appropriately</li></ul>
Preferred<ul><li>Experience with NetSuite or similar ERP/accounting software</li><li>Experience in construction, HVAC, mechanical contracting, or service industries</li><li>Multi-entity or multi-location AP experience</li><li>General accounting or month-end close experience</li><li>Bilingual in Spanish</li></ul>

What You&rsquo;ll Be Doing<ul><li>
Diagnose, troubleshoot, and repair commercial refrigeration and HVAC systems</li><li>
Service rack systems, walk-ins, reach-ins, ice machines, and self-contained units</li><li>
Perform preventative maintenance and emergency repairs</li><li>
Repair and maintain restaurant hot-side equipment (fryers, ovens, etc.)</li><li>
Communicate clearly with customers and document work performed</li><li>
Manage your service calls independently and efficiently</li></ul>
What We&rsquo;re Looking For<ul><li>
4+ years of commercial HVAC refrigeration service experience</li><li>
Strong troubleshooting skills</li><li>
Experience with rack systems preferred</li><li>
Restaurant hot-side experience a plus (training available)</li><li>
EPA Certification (Type II minimum required) and OSHA 10</li><li>
Valid driver&rsquo;s license with good driving record</li><li>
Professional, customer-focused attitude</li></ul>
