They&rsquo;re personable and thrive on building relationships, and organization is their middle name. As an OC, you&rsquo;re the first point of contact for all students, families, and visitors to Coney Island Prep, and will play a key role in scholar and family engagement, particularly as it relates to school attendance, enrollment, and registration. You catalog, create systems and lists, enter data, collect documents and ensure compliance around student data. An OC&rsquo;s home base is the main office and you take immense pride in how welcoming and aesthetically pleasing it feels for our guests. You&rsquo;re the first to greet guests with a smile and offer them a seat.The OC will be hired by and report to the Director of Operations.What You&rsquo;ll Be Asked To DoScholar and Family Communication<ul><li>Create a warm, welcoming main office environment for families by building relationships and providing top-notch customer service</li><li>Seamlessly and professionally handle all incoming and outgoing communication between scholars, families and staff (including mailings, letters home, phone calls, and emails)</li><li>Serve as the primary point of contact for the school on all phone communication including, but not limited to, answering the phones and taking messages</li><li>Generate content and prepare weekly family newsletter</li><li>Execute daily attendance procedures to ensure accuracy of data and clear, daily communication with families</li><li>Work with the Director of Operations to maximize daily attendance and minimize tardies</li><li>Maintain the main office workspace for aesthetics and function, including the inventorying and organization of supplies/materials, scholar concerns and visitor systems</li><li>Collaborate with school staff to ensure a comprehensive list exists of scholars staying after school, and communicate efficiently with families regarding their scholar</li><li>Track completion of all parent and student-facing surveys, RSVPs, permission slips, and other relevant documentation</li></ul>Enrollment and Student Data<ul><li>Maintain and update student files, family contact information, health records, medication forms, parental permission, IEPs, and transcripts to ensure compliance with state mandates</li><li>Engage in relevant data entry to ensure student information systems are accurate and updated with current student data</li><li>Ensure all class lists and student information systems, specifically PowerSchool, SchoolRunner and ATS are accurate and updated with current student data</li><li>Support student recruitment initiatives as detailed by the Director of Student Recruitment and Enrollment</li><li>Coordinate summer and mid-year enrollment by managing the school&rsquo;s waitlist and enrolling new scholars as soon as seats become available</li><li>Maintain and consistently update Enrollment and Registration trackers</li></ul>Operational Support<ul><li>Contribute to creating a welcome main office environment for families by providing top notch customer service and creating visitor systems</li><li>Respond urgently and in-the-moment to support academic programming and student needs</li><li>Help oversee and execute whole-school systems including arrival, lunch, dismissal, and transportation (specific duties will vary by campus)</li><li>Act as the point person in planning and executing all student and family events including family conferences, field trips, and high-stakes testing</li><li>Act as the first point of contact for all scholar health needs in collaboration with the school nurse</li><li>Manage family facing school calendars</li><li>Flexibility to work evenings and weekends as needed</li><li>Additional support at the request of the Director of Operations</li></ul>What You&rsquo;ll Need<ul><li>Passion for education and a dedication to Coney Island Prep&rsquo;s mission, beliefs, and values and its commitment to anti-racism</li><li>Steadfast belief that all students can achieve at the highest academic levels and deserve an opportunity to succeed in the college and career of their choice</li><li>Proven organizational, oral, and written communication skills;
