Purpose of the Job
The Procurement Specialist supports day-to-day procurement operations, covering supplier sourcing, purchase order management, contract administration, and vendor coordination. The role partners with internal departments and suppliers to ensure timely, accurate, and policy-compliant procurement outcomes. 
Essential Functions and Responsibilities
Procurement Planning
<ul><li>Conduct market research to gather pricing data, identify qualified suppliers, and assess their fit for procurement requirements.</li><li>
Monitor market trends and pricing and escalate cost-saving opportunities to the direct manager.</li></ul> 
Vendor Management<ul><li>
Participate in supplier evaluation and negotiations, supporting competitive terms across categories such as hospitality, logistics, and third-party services.</li><li>
Support supplier performance tracking on delivery, quality, and reliability, escalating issues as needed.</li><li>
Ensure procurement activities comply with internal policies and applicable regulations</li><li>
Draft procurement agreements for suppliers without formal contracts, defining deliverables, pricing, timelines, and service expectations for approval.</li></ul> 
Purchasing Execution<ul><li>
Review supplier contracts before approval, verifying alignment with policies, budgets, and stakeholder requirements.
</li><li>Process and track purchase orders through the full cycle, verifying receipts against delivery notes and invoices, and following up with suppliers to resolve discrepancies and ensure on-time delivery.</li><li>
Maintain organized records of procurement transactions, contracts, and supplier communications by document management standards.</li></ul> 
Financial &amp; Cost Management
<ul><li>Coordinate with internal departments to gather requirements and identify cost-effective sourcing options.
</li><li>Negotiate pricing and terms with suppliers and document outcomes for review and reporting.</li></ul> 
Required Education, Experience, Knowledge, and Skills<ul><li>
Bachelor's degree in business administration, Supply Chain Management, or a closely related discipline.</li><li>
A minimum of 1 to 3 years of hands-on experience in procurement or supply chain functions, with exposure to sourcing, vendor management, and purchase order processing.</li><li>
Good command of English, with the ability to communicate effectively in writing and verbally for business correspondence and supplier interactions.</li><li>
Proficiency in Microsoft 365 applications including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint; prior exposure to procurement or ERP systems is an advantage.</li><li>
Good analytical and organizational skills, with the ability to manage multiple tasks, meet deadlines, and communicate clearly with internal teams and external suppliers.</li><li>
Foundational knowledge of procurement principles, sourcing processes, and vendor management practices, with a willingness to develop expertise in line with organizational standards.</li><li>
Ability to work independently on assigned tasks while maintaining clear communication with the direct manager and escalating issues appropriately and in a timely manner.</li></ul> 
Travel and Working Requirements<ul><li>
Primary office-based environment; regular activities include extended periods of desk work, use of computer systems, and occasional manual handling of materials such as boxes and samples.</li><li>
Domestic travel across Egypt is required on a regular basis, including occasional short-notice assignments to support urgent operational procurement needs.</li></ul></div>

 Purpose of the Job
 
 
 
 The Program Administrator for the Not Alone Program (NAP) is responsible for effectively handling various administrative duties and providing comprehensive support to ensure the seamless administrative functioning of the program. This role includes assisting budget preparation and quarterly analysis, and acts as the focal point for inter-departmental collaboration with the Procurement and Facilities departments. This position reports directly to the Senior Program Manager
 
 
 
 Essential Functions And Responsibilities
 
 
 
 <ul>
 <li>
 Lead and manage logistics for large events (e.g., Reps conferences, quarterly meetings, multi-day staff trainings, etc.), coordinating across teams and vendors to ensure successful completion.
 </li>
 <li>
 Assist in preparing and analyzing the annual program budget, monitor expenditures, conduct quarterly variance analysis, and recommend adjustments in future budgets.
 </li>
 <li>
 Serve as the main contact with facilities and procurement departments to ensure streamlined procurement practices and effective communication with field staff.
 </li>
 <li>
 Coordinate the production of annual and semi-annual MoSS reports, as well as responses to inquiries and audit questions routed from the finance department.
 </li>
 <li>
 Maintain an up-to-date version of the program administrative manual, reflecting all changes in processes and procedures.
 </li>
 <li>
 Handle daily administrative, operational, and logistical tasks, including obtaining quotations, booking venues, accommodations, transportation, and submit payment requests.
 </li>
 <li>
 Schedule and organize program-related meetings and events, record and archive meeting minutes, and manage program's social media accounts.
 </li>
 <li>
 Maintain storage, including recording, restocking, and dispatching printed manuals, equipment, and materials.
 </li>
 <li>
 Manage organization of all program records, reports, presentations, proposals, and children photo consents on SharePoint.
 </li>
 <li>
 Serve as the main focal point to receive families' complaints (concerning Reps) and redirect them to the relevant Area Program Manager.
 </li>
 <li>
 Perform other duties as assigned by the manager.
 
 
 </li>
 </ul>
 
 Required Education, Experience, Knowledge And Skills
 
 
 
 <ul>
 <li>
 Bachelor's degree in business management, Office Administration, or a related field.
 </li>
 <li>
 3-5 years of relevant professional experience.
 </li>
 <li>
 Full proficiency in English and Arabic, both written and spoken.
 </li>
 <li>
 Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), as well as Outlook, Teams, and SharePoint.
 </li>
 <li>
 Strong interpersonal skills, with the ability to work effectively with staff at all levels and with external partners or vendors while maintaining a spirit of service.
 </li>
 <li>
 Excellent time management skills with the ability to complete individual tasks on schedule.
 </li>
 <li>
 Proven attention to detail, high level of accuracy, and strong problem-solving skills.
 </li>
 <li>
 Demonstrated ability to work independently with minimal supervision while also being an effective team player.

 Travel And Working Requirements

 Typical office environment such as walking, sitting, typing, using office equipment, and occasional lifting of boxes or luggage during travel

 Travel throughout Egypt may reach as much as 25% of the time.
