Job Summary We are seeking an energetic and detail-oriented Receptionist/Office Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, manage daily administrative tasks, and support office operations to ensure a smooth and efficient workplace. Responsibilities<ul><li>Greet visitors warmly and professionally, directing them appropriately while maintaining excellent phone etiquette.</li><li>Operate multi-line phone systems to handle incoming calls efficiently, providing prompt assistance or routing calls as needed.</li><li>Manage front desk duties including answering inquiries, scheduling appointments, and maintaining visitor logs.</li><li>Perform data entry, filing, and document proofreading to support administrative processes with accuracy.</li><li>Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for record keeping, correspondence, and basic bookkeeping tasks.</li><li>Assist with calendar management and scheduling for team members or executives.</li><li>Support office management activities such as organizing supplies, maintaining cleanliness, and ensuring the office environment is professional and welcoming. Qualifications</li><li>Proven office experience with strong clerical skills and familiarity with front desk operations.</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.</li><li>Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Strong customer service orientation with professional phone etiquette and communication skills.</li><li>Bilingual abilities are a plus to assist diverse client needs.</li><li>Experience with office management software such as QuickBooks or similar accounting tools is preferred.</li><li>Previous experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience also valued.</li></ul>Ability to handle confidential information discreetly while demonstrating excellent time management skills.
