We work on residential and commercial projects and deal daily with suppliers for brick, block, stone, stucco, scaffolding, equipment, and more. We&rsquo;re looking for a reliable, detail-oriented person to support our procurement (buying materials, dealing with vendors) and to act as a personal/administrative assistant to the owner. If you&rsquo;re organized, good with follow-ups, and not afraid to chase people for quotes or delivery dates, this role is for you.Position OverviewThe Procurement &amp; Executive Assistant will be responsible for:<ul><li>Sourcing and ordering materials and supplies</li><li>Managing communication with vendors</li><li>Tracking orders and deliveries for jobs</li><li>Supporting the owner with day-to-day administrative tasks, follow-ups, and light coordination</li></ul>You&rsquo;ll be a key support person making sure jobs have what they need and the owner has the information he needs.Key Responsibilities Procurement (Materials &amp; Vendors)<ul><li>Request quotes from brick, block, stone, stucco, EPS, scaffold, equipment and material vendors</li><li>Prepare and place purchase orders for approved materials</li><li>Track order status, lead times, and deliveries to each jobsite</li><li>Follow up with suppliers about backorders, missing materials, or delivery issues</li><li>Maintain simple records of pricing, vendors, and invoices for future jobs</li><li>Compare prices and options to help reduce material costs where possible</li></ul>Owner / Executive Assistant Support<ul><li>Help the owner with daily to-do lists and follow-ups (texts, emails, calls)</li><li>Organize and update basic project information in spreadsheets or simple tracking systems</li><li>Schedule or confirm deliveries, inspections, notary visits, and meetings as needed</li><li>Help prepare simple checklists, letters, or documents for employees and clients</li><li>Keep digital files (quotes, invoices, agreements, photos, etc.) organized and easy to find</li></ul>Qualifications Required:<ul><li>Strong organizational skills and attention to detail</li><li>Good written and verbal communication skills</li><li>Comfortable making phone calls and following up with vendors and contacts</li><li>Basic computer skills: email, Excel/Google Sheets, PDF, and phone-based apps (WhatsApp, etc.)</li><li>Reliable, responsive, and able to manage multiple tasks at once</li><li>Ability to work with minimal supervision once trained</li></ul>Preferred (nice to have, not mandatory):<ul><li>Experience in construction, masonry, materials supply, or similar field</li><li>Experience in purchasing, procurement, or administrative/assistant roles</li><li>Familiarity with reading basic construction terms (brick, CMU, stucco, mesh, flashing, etc.)</li></ul>Schedule &amp; Work Environment<ul><li>Schedule: Full-time, typically Monday&ndash;Friday (some flexibility as needed)</li><li>Work setting: Mix of remote and office-based (depending on how you want to run it), mostly phone/computer work</li><li>Must be available during business hours to call vendors and coordinate deliveries</li></ul>Job Type: Full-timePay: From &#8377;43,000.00 per monthWork Location: Remote
