<div><p><b>WHAT WE OFFER</b></p><ul><li><b>
Educational Incentive: </b>An educational incentive of 2.5% for completion of an associate degree, 3.5% for completion of a bachelor's degree, OR 5% for completion of a graduate degree.</li><li><b>
Bilingual Incentive: </b>Incumbents may also be eligible for a bilingual incentive depending upon operational need and certification of skill. Proficiency levels by exam are $.69 per hour (Level I); $1.00 per hour (Level II); or $1.32 per hour (Level III).</li><li><b>
Vacation Accrual: </b>New regular, full-time employees shall accrue approximately 14 days of vacation a year for the first 10,400 hours or 5 years of service; vacation accruals increase at 5, 11, 12, 13, 14, 15 and 20 years of service topping out at 26 days a year and 400 hours of vacation hours banked.</li><li><b>
Flexible Workweek/Telework Schedule: </b>We support a work/life balance by offering compressed work (e.g., 9/80 or 4/10 workweek) and remote hybrid telework schedules for some positions subject to organizational needs and satisfactory performance.</li><li><b>
Annual Leave Redemption: </b>After 14,560 hours of continuous service an employee may elect to &quot;cash in&quot; or redeem up to 80 hours of vacation accrued in the same year after using 80 hours of vacation in the preceding 12 months.</li><li><b>
Sick Leave: </b>Full-time Regular employees accrue 3.08 hours of sick leave per pay period with an advance at hire of 40.04 hours which will be balanced at the completion of 13 bi-weekly pay periods.</li><li><b>
Deferred Compensation: </b>Eligible to participate in the County's 401(k) Shared Savings Plan and/or the Section 457 Plan. This position is eligible for up to a 3% match on your 401(k) contributions.</li><li><b>
Health Plans: </b>Full-time employees are given a flexible credit allowance of up to $26,626.98 annually to offset the purchase of medical insurance for you and your dependents. Employee only - $463.99 per biweekly pay period; Employee plus one dependent - $834.32 per biweekly pay period; and Employee plus family - $1,024.11 per biweekly pay period.</li><li><b>
Flexible Spending Accounts: </b>Choice of participation in the Flexible Spending Accounts which increase spending power through reimbursement of pre-tax dollars for IRS approved dependent care and health care expenses.</li><li><b>
Pension Plan: </b>Both the County and employees contribute to the County's Retirement Plan and to Social Security. If eligible, reciprocity may be established with other public retirement systems such as PERS.</li><li><b>
Holidays: </b>12 paid days per year which includes a scheduled floating holiday.</li><li><b>
Additional Benefits: </b>Tuition Reimbursement, Disability Plans, Employee Assistance Program, Life Insurance and Wellness Program.</li></ul><br>

THE POSITION</b><div>
Under general supervision, provides administrative support for the lifecycle of Revenue and Tenant Leases, including processing billing, recording payments, and maintaining accurate financial records for rental and Common Area Maintenance (CAM) charges; performs data entry, updates databases, assists with reconciliations, supports collection efforts and prepares routine financial and statistical reports; assists with maintaining forms, preparing permits, real property acquisition documents, and various reports and correspondence; reviews and coordinates board letters, supports special projects; and performs other related duties as required.</div><br>
<b>
DISTINGUISHING CHARACTERISTICS</b><br>
The Administrative Assistant (AA) classifications are characterized by their responsibility to departmental management for the provision of a variety of staff administrative services. They differ from the Administrative Officer classifications in that they are primarily staff in nature. The functional difference between the levels of the Administrative Assistant classifications relate to the complexity of the staff work regularly assigned and the size of the agency/department.<br>

Administrative Assistant I: $27.12 - $37.93/hourly<br>
Administrative Assistant II: $29.81 - $41.81/hourly</div><p></p>
<div><h2 class="jobSectionHeader"><b>Examples Of Duties</b></h2></div>
<div><p>Duties may include, but are not limited to, the following:</p><ul><li>
Provides administrative support for the full lifecycle of Revenue and Tenant Leases, including processing billing, tracking and recording rental payments, Common Area Maintenance (CAM) charges and other real property-related fees; coordinates payment activities and maintains accurate financial records; performs data entry and updates databases to reflect payments, adjustments and charges; assists with account reconciliations by verifying payment histories and resolving discrepancies; supports collection efforts; and prepares routine reports on payments, collections and related metrics.</li><li>
Maintains and updates the Real Estate Services Forms Library.</li><li>
Assists with preparation and the mailing of annual bioassessment and Arundo removal permits.</li><li>
Assists with the preparation of real property acquisition documents and offer packages.</li><li>
Prepares a variety of reports and correspondence such as the annual Title VI reporting and annual Real Estate Services report for the County Executive Office.</li><li>
Reviews and prepares board letters; and oversees the review and submission process.</li><li>
Performs a variety of special projects and assignments in direct assistance to departmental management staff.</li><li>
Performs other related duties as required.</li></ul><br>
Administrative Assistant I and II are represented by the Service Employees International Union (SEIU) and eligible for overtime compensation.</div><p></p>

<b>EDUCATION, TRAINING and EXPERIENCE</b><br>
Some education and experience which would provide the required knowledge, skills and abilities. This may be obtained by completion of an Associate Degree in business administration, real estate, public administration or a related field AND one (1) year (AA I) or two (2) years (AA II) of experience supporting public-sector real estate services and leasing administration. Additional related experience can be substituted for the education on a year for year basis.<br>
<br>
<b>NECESSARY SPECIAL REQUIREMENTS</b></p><br>
<ul><li>
Must possess and maintain a valid California driver's license; and</li><li>
Strong communication skills, both written and verbal. Skills must be demonstrated in the completion of the employment application and supplemental questionnaire.</li></ul><b>
DESIRED</b><ul><li>
 Some experience reviewing, preparing and/or submitting board letters.</li></ul><br>

KNOWLEDGE, SKILLS and ABILITIES</b><br>
Knowledge of: principles and techniques of real estate services and leasing administration for public sector entities; principles and techniques of administrative and fiscal analysis; basic mathematics, fiscal and record keeping; modern office methods and procedures including business correspondence, tracking and filing; office equipment such as computers, copiers, printers, telephones; job-related software and web-based programs; and laws, legal codes, governmental regulations applicable to real estate for public entities.<br>

Ability to: understand, apply and interpret concepts, techniques, rules, statutes, policies, etc. relating to real estate services and leasing; effectively utilize job-related software, various databases and resources; and effectively operate a variety of office equipment; prepare a variety of clear and concise reports and correspondence; organize and prioritize work assignments; establish and maintain effective working relationships with a variety of employees and the general public; and communicate effectively, both orally and in writing.</div><br>
