You will help manage systems, marketing, transactions, and daily operations so the team can stay focused on serving clients and growing the business.The ideal candidate thrives in a fast-paced environment, enjoys managing details, improving systems, and taking ownership of projects. Over time, this role may expand into a larger operations leadership position as the team continues to grow.Job Duties IncludeMarketing &amp; Client Experience<ul><li>Track and manage client referrals</li><li>Manage and grow 5-star online reviews</li><li>Send client surveys and track feedback</li><li>Support AI integration and automation initiatives</li><li>Manage social media accounts and posting schedule</li><li>Maintain and manage CRM and task management systems</li><li>Design flyers, brochures, and marketing materials</li><li>Coordinate mailings and print campaigns</li><li>Create and send quarterly Mailchimp e-newsletters</li><li>Assist with client appreciation events and programs</li><li>Manage client gifts and appreciation touchpoints</li><li>Conduct client care follow-up and home anniversary outreach</li><li>Prepare and distribute market reports</li><li>Provide miscellaneous marketing support as needed</li><li>Help create, improve, and manage internal systems and workflows</li><li>Manage and optimize the Google Business Profile</li></ul>Transaction Coordination &amp; Real Estate Support<ul><li>Prepare CMAs for clients and annual market reports</li><li>Maintain and manage the vendor list</li><li>Coordinate listing preparation including vendors, staging, photography, and marketing</li><li>Prepare and organize buyer and seller paperwork</li><li>Manage transaction paperwork, timelines, and deadlines</li><li>Track receipts and expenses in QuickBooks for tax purposes</li><li>Assist with showing homes, final walkthroughs, and inspections when needed</li><li>Help place and remove items from listings as needed</li><li>Follow up with agents and clients for showing feedback</li><li>Conduct property research when needed</li><li>Help manage buyer home searches</li><li>Prepare and assist with contracts and transaction documents</li></ul>Administrative &amp; Operations Support<ul><li>Manage calendars, appointments, and property showings</li><li>Provide administrative support including data entry, filing, document proofreading, and record management</li><li>Maintain organized digital and physical filing systems</li><li>Manage office supplies and support general office operations</li><li>Assist with event planning, open houses, and client events</li><li>Help prepare homes to go on the market as needed</li><li>Run local errands including dropping off and picking up materials or signage</li><li>Handle miscellaneous administrative tasks as needed</li></ul>QualificationsRequired<ul><li>Active Washington State real estate license</li><li>Must live within 5 miles of Kirkland</li><li>Valid driver&rsquo;s license and reliable transportation</li></ul>Skills &amp; Experience<ul><li>Experience in real estate administration, executive support, operations, or transaction coordination preferred</li><li>Strong organizational and time management skills</li><li>Exceptional attention to detail and accuracy</li><li>Ability to manage multiple priorities in a fast-paced environment</li><li>Excellent written and verbal communication skills</li><li>Strong client service mindset and professional demeanor</li><li>Ability to work independently and take ownership of projects</li></ul>Technical Skills<ul><li>Microsoft Office Suite (Word, Excel, Outlook)</li><li>Google Workspace (Gmail, Docs, Calendar)</li><li>CRM systems and transaction management platforms</li><li>QuickBooks (basic bookkeeping)</li><li>DocuSign and electronic document systems</li><li>Mailchimp or similar email marketing platforms</li><li>Social media management tools</li><li>Canva for marketing and design materials</li><li>Experience working with AI tools and automation platforms</li></ul>Compensation &amp; Benefits<ul><li>$26 &ndash; $32 per hour, depending on experience</li><li>Paid holidays</li></ul>Location &amp; Work ScheduleThis role is primarily based in Kirkland, WA and requires regular in-person collaboration with the team.Once systems and responsibilities are established, the position has the potential to flex between in-office and hybrid work depending on workflow and team needs.How to ApplyPlease submit your resume along with a short note explaining why this role interests you and why you believe you would be a strong fit for this position.To help us identify applicants who pay close attention to detail, please include the phrase &ldquo;Client Experience Matters&rdquo; at the top of your message.Pay: $26.00 - $32.00 per hourExpected hours: 40.0 per weekApplication Question(s):<ul><li>Do you currently hold an active Washington State real estate license?</li><li>Do you currently live within 5 miles of Kirkland?</li><li>Which of the following tools have you used in a professional setting?
