We are a small boutique law firm located near Nationals Park in Washington, DC. We are seeking a full-time, highly organized, detail-oriented and tech-savvy Senior Administrative Assistant to assist with attorney support, day-to-day operations and ensure the smooth functioning of the office. This position requires administrative and operational support skills combined with bookkeeping experience. The ideal candidate is a team player who is comfortable managing multiple responsibilities in a dynamic environment with a willingness to pitch in however needed.The position is primarily hybrid but during busy periods full-time presence in the office may be required.KEY RESPONSIBILITIESAdministrative Support:&middot; Administrative support for all attorneys&middot; Work with the Office Manager on all matters related to office operations and administrative functions&middot; Board meeting preparation, assistance with running board meetings, and drafting of board meeting minutes&middot; Office technology support for all attorneys&middot; Willingness to pitch in with support tasks such as pickup and distribution of office mail, depositing checks at the bank, supply orders, etc.Bookkeeping:&middot; Assist with maintaining accurate financial records, including accounts payable and receivable, general ledger entries, and bank reconciliations&middot; Process invoices, expense reports, and payments in a timely manner&middot; Assist with preparing monthly, quarterly, and annual financial reports&middot; Assist with budgeting, forecasting, and cash flow management&middot; Assist with coordination of external accountants, auditors, and tax professionalsCORE COMPETENCIES&middot; Excellent client service skills&middot; Positive attitude and team player&middot; Communicating effectively&middot; Ability to organize, prioritize, multi-task, meet deadlines, and exhibit attention to detail&middot; Previous experience in a similar role within a small to medium size law or professional services firm working for multiple attorneys a plusREQUIREMENTS&middot; Minimum of 3 years administrative assistant experience&middot; Minimum of 3 years bookkeeping experience&middot; Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams and Zoom&middot; Advanced skills with Portable Document Format files (PDF) editor software such as Adobe Acrobat Pro&middot; Exceptional skills in writing, proofreading, editing, and formatting&middot; Bookkeeping, AP, AR, and invoicing experience&middot; Strong understanding of basic accounting principles&middot; Proficiency in accounting software (e.g. QuickBooks, BQE Core, etc.)&middot; Proficiency in expense reimbursement and vendor invoice payment systems&middot; Proficiency in file management systems such as NetDocuments&middot; Exceptionally organized with strong attention to detail and consistent follow-through&middot; Motivated with the ability to multi-task, take ownership of tasks, and work proactively and independently&middot; Strong interpersonal skills with a good attitude and ability to be a team player&middot; Willingness for role to evolve and accept new responsibilitiesWe offer a competitive salary and an attractive benefits package including health insurance, dental insurance, life/AD&amp;D insurance, 401(k), and paid time off.
