About the Role

We are seeking a proactive and detail-oriented Operations and Communications Manager to support our day-to-day operations, internal coordination, and campaign workflows. 
This role is ideal for someone who enjoys structure, can manage multiple moving parts across teams, and has a knack for keeping operations running smoothly.

The role also involves managing light customer relations work, CRM data upkeep, and assisting with administrative and operational activities.

Key Responsibilities 

Operational &amp; Workflow Management
<ul>
<li>Maintain Monday.com boards and automation systems, ensuring dashboards remain accurate and up to date for management visibility at all times.</li>
<li>Monitor weekly analyst work tracking, follow up as needed, and proactively alert manager to gaps or delays</li>
<li>Support the creation and management of internal workflows, dashboards, and forms to streamline project tracking and communication.</li>
<li>Maintain project timelines and ensure that operational data are consistently updated.</li>
<li>Prepare and maintain internal reference guides or training materials to simplify team processes.</li>
<li>Provide backup administrative support for internal operational needs, including backend and CRM systems such as WordPress, Hubspot and Chargebee.</li>
<li>Assist with cross-team operational tasks, facilitating coordination between departments to ensure smooth execution of deliverables.</li> 
</ul>
Publishing &amp; Campaign Management
<ul>
<li>Coordinate report publishing activities &mdash; including gathering final approvals from both clients and internal teams, and ensuring consistency across formats and channels.</li>
<li>Manage timely approvals, documentation, and communication between clients and internal teams to support consistent and efficient content publishing. 
</li>
<li>Oversee report distribution activities, including executing newsletter campaigns and coordinating dissemination across relevant channels (Twitter, LinkedIn, PR partners).</li>
<li>Collaborate with the Social Media Manager and Marketing Team to ensure consistent messaging and cohesive amplification across channels.</li>
Track and manage amplification performance, including monitoring impressions and engagement to measure reach and reporting results internally and to clients, as needed.

</li></ul>Requirements
<ul>
<li>1&ndash;3 years of experience in administrative, operations, or coordination roles (internship experience acceptable).</li>
<li>Strong organizational and multitasking abilities with excellent attention to detail.</li>
<li>Comfortable using project management or workflow tools (e.g., Monday).</li>
<li>Basic familiarity with CRMs (HubSpot preferred) and website management tools (e.g., WordPress).</li>
<li>Good communication and follow-up skills; proactive in ensuring timelines are met.</li></ul>

Operations and Communications Manager

Job Summary:

We are seeking a proactive and reliable Administrator to support the operations of our organization as well as provide essential support to the Research teams. The ideal candidate will excel at customer support, demonstrate exceptional communication skills, and work collaboratively within a team. This role requires strong attention to detail, high levels of organization, and the ability to multitask in a fast-paced environment. 

Key Responsibilities:
<ul>
<li>Support the Research teams with general administrative needs including porting research reports to WordPress and email send-out through Hubspot and Email Octopus.</li>
</ul><ul><li>Communicate clearly and effectively with customers, team members, and management.</li>
</ul><ul><li>Customer support - Review and promptly respond to customer inquiries related to membership, subscription upgrades, downgrades, and any subscription issues, ensuring timely and accurate resolution to enhance customer satisfaction. 
</li>
<li>Assist in HR related tasks such as onboarding and offboarding team members</li>
</ul><ul><li>Support Operations manager</li>
</ul><ul><li>Maintain accurate records, documentation, and data entry with strong attention to detail</li>
</ul><ul><li>Assist with general administrative duties such as filing, reporting, and correspondence</li>
</ul><ul><li>Ad hoc creation of new member subscription accounts and trial accounts within Chargebee. This includes accurately setting up account profiles, defining subscription plans, and managing billing details to ensure accurate account setup and smooth onboarding experience for new customers. 
</li>
<li>Assist Operation Manager in developing operational policies and procedures. 
</li>
<li>Assist on various projects as needed. 
</li>
<li>Responsive and available on Telegram during work hours (9AM ET to 5PM ET)</li>
</ul><ul><li>Contribute to a positive team environment and support colleagues as needed 
</li>
<li>Other duties and responsibilities as assigned</li></ul> 


Qualifications:
<ul>
<li>Experience in similar Administrative work</li>
<li>Excellent organizational skills</li>
<li>Ability to handle reactionary tasks and prioritize effectively</li>
<li>Willing to work the hours between 9am and 5pm EST</li>
<li>Experience in Hubspot and Word Press would be an advantage</li></ul>
