 About the Role
 
 
 
 Delphi Healthcare is seeking a highly organized and proactive
 
 Executive Assistant / Scheduler
 
 to support our Chief Executive Officer and operational teams. This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys multitasking, and takes pride in maintaining structure, communication, and efficiency across multiple priorities.
 
 
 
 
 
 
 Key Responsibilities
 
 
 
 
 
 
 
 Executive &amp; Administrative Support
 
 
 <ul>
 <li>
 Manage and coordinate executive calendars, meetings, and logistics
 </li>
 <li>
 Prepare presentations, reports, and meeting materials
 </li>
 <li>
 Serve as a primary point of contact while handling confidential information with discretion
 </li>
 <li>
 Screen and route incoming communications to appropriate stakeholders
 </li>
 </ul>
 
 
 
 
 
 Provider Scheduling &amp; Coordination
 
 
 <ul>
 <li>
 Coordinate schedules for Emergency Department and Hospitalist physicians and APPs across multiple sites
 </li>
 <li>
 Balance provider availability, time-off requests, and operational needs
 </li>
 <li>
 Ensure proper shift coverage and alignment with organizational goals
 </li>
 <li>
 Maintain fair and structured scheduling practices
 </li>
 <li>
 Build strong relationships with providers to support effective communication
 </li>
 </ul>
 
 
 
 
 
 Patient Satisfaction &amp; Follow-Up
 
 
 <ul>
 <li>
 Conduct patient satisfaction calls using structured questionnaires
 </li>
 <li>
 Accurately document feedback and escalate concerns or trends
 </li>
 <li>
 Provide a professional and empathetic patient experience
 </li>
 <li>
 Assist with reporting for monthly and quarterly reviews
 </li>
 </ul>
 
 
 
 
 
 Chart Completion Management
 
 
 <ul>
 <li>
 Monitor and track open charts to ensure timely provider completion
 </li>
 <li>
 Follow up with physicians and APPs via phone, email, and text
 </li>
 <li>
 Maintain accurate tracking systems and documentation
 </li>
 </ul>
 
 
 
 
 
 Travel &amp; Logistics
 
 
 <ul>
 <li>
 Coordinate travel arrangements for providers
 </li>
 <li>
 Manage changes and ensure alignment with schedules
 </li>
 </ul>
 
 
 Events &amp; Project Coordination
 
 
 <ul>
 <li>
 Support hospital events, donor relations, and external engagements
 </li>
 <li>
 Track project timelines, action items, and deadlines
 </li>
 <li>
 Communicate updates with internal teams and partners
 </li>
 </ul>
 
 
 
 
 
 Qualifications
 
 
 <ul>
 <li>
 Bachelor&rsquo;s degree preferred (new graduates encouraged to apply)
 </li>
 <li>
 1&ndash;2 years of administrative or scheduling experience preferred
 </li>
 <li>
 Healthcare scheduling experience is a plus
 </li>
 <li>
 Strong organizational, communication, and time-management skills
 </li>
 <li>
 Ability to multitask and thrive in a fast-paced environment
 </li>
 <li>
 High attention to detail and problem-solving ability
 </li>
 <li>
 Proficiency in Microsoft Office (Excel and PowerPoint preferred)
 </li>
 </ul>
