Dentons US LLP is currently recruiting for a Legal Administrative Assistant for our New York office providing support to our Intellectual Property &amp; Technology Practice Group. This position will provide legal administrative support to 2 partners and up to 3 associates in a highly collaborative working environment. This is a hybrid position requiring office flexibility; generally 3 days in office, 2 days remote.

Responsibilities
<ul><li>Responsible for administrative tasks including, but not limited to, document creation, editing and preparation of letters, time entry, expense reimbursement, coordinate telephone/video calls domestically and internationally, travel arrangements, and calendar invites.</li>
<li>Billing &ndash; strong background in financial responsibilities such as reviewing pro formas, prepare accrual spreadsheets and send to clients, prepare cover letters on client invoices, follow up with vendors domestically and internationally on invoice matters.</li>
<li>Maintain attorney calendar and coordinate attendance to conference calls and meetings.</li>
<li>Maintain lawyers&rsquo; contacts lists in Outlook and InterAction.</li>
<li>Handle confidential information as necessary.</li>
<li>These duties may be ongoing or ad hoc in nature.</li>
<li>Other duties may be assigned to fully meet the requirements of the position.</li>
</ul>Experience &amp; Qualifications
<ul><li>Bachelor&rsquo;s degree is preferred with a minimum of 5 years&rsquo; C-Suite executive-level administrative experience, coupled with at least 5 years&rsquo; legal secretarial experience within a mid-to-large law firm. This dual expertise is crucial to ensure handling the unique demands of this role with proficiency and confidence.</li>
<li>General trademark and IP litigation experience preferred.</li>
<li>Exceptional organizational skills, work independently, strong attention to detail and follow up capabilities, ability to prioritize and multi-task.</li>
<li>Ability to work in a high-volume environment.</li>
<li>Strong interpersonal and communication (oral and written) skills.</li>
<li>Strong Knowledge of Excel</li>
<li>Advanced knowledge of MS Word, Outlook, Teams, 3E, Chrome River, Adobe PDF; must exhibit strong ability to learn and quickly become proficient in new computer software programs.</li>
<li>Ability to prioritize and handle ever-changing priorities.</li>
<li>Ability to work with minimal supervision, be a team player and be committed to providing a high level of client service.</li>
<li>Flexibility for overtime.</li>
<li>Flexibility regarding which days are in-the-office and work-from-home.</li>
</ul>Salary

Pursuant with states' laws, the salary range for this position is $80,000 - $100,000, based on experience and local market.

 The team works closely with IT, Office of the General Counsel (OGC), Procurement, Solutions/Helix and Practice Groups to pilot, implement and embed new tools and ways of working across the firm.
 
 
 
 
 
 
 The Role
 
 
 
 
 
 
 The Applied AI Engineer designs, builds and productionises AI-enabled solutions for legal and business services delivery. Working consultatively with stakeholders and delivery teams, the role translates use cases into technical designs across Python applications, cloud workflows, enterprise platforms, AI skills, agents, integrations and automations.
 
 
 
 
 
 
 Key Responsibilities
 
 
 
 
 
 <ul>

 Design, build and maintain AI-enabled applications, automations and internal tools using Python, cloud services and enterprise platforms.
 </li>
 <li>
 Work with stakeholders to understand business problems, assess use cases and translate requirements into practical technical designs.
 </li>
 <li>
 Build integrations between internal systems, enterprise platforms, external applications and AI services.
 </li>
 <li>
 Develop reusable AI skills, agents, workflow components and automation patterns that can be adopted across the firm.
 </li>
 <li>
 Build document-focused AI workflows, including extraction, summarisation, search, retrieval and due diligence support.
 </li>
 <li>
 Productise AI pilots by improving reliability, maintainability, testing, evaluation, documentation and reuse.
 </li>
 <li>
 Design and implement multi-step AI workflows, including tool-using, agentic and platform-native automations where appropriate.
 </li>
 <li>
 Collaborate with product, UX, engineering, cloud, innovation and business teams to deliver secure, production-ready solutions.
 </li>

 Apply sound engineering judgement around confidential client data, privacy, security, governance and responsible AI.

This position will provide administrative support to Litigation lawyers in a highly collaborative working environment. This is a hybrid position requiring three days in the office and two days remote each week.

Responsibilities
<ul><li>Responsible for document preparation, editing, file maintenance, client billing and overall administrative support for multiple timekeepers</li>
<li>Work with timekeepers, input time entry, pleadings, process invoices for payments, manage professional affiliations and CLE requirements, process mail and perform other requested administrative duties as required</li>
<li>Serve as a professional point of contact for clients in person and by phone</li>
<li>Arrange travel and process expense reimbursements</li>
<li>Handles confidential/sensitive firm and/or client information</li>
<li>These duties may be ongoing or ad-hoc in nature</li>
<li>Other duties as may be assigned to fully meet the requirements for this position</li>
</ul> Experience &amp; Qualifications
<ul><li>2+ years Litigation administration experience in a mid- to large-sized law firm preferable</li>
<li>Proficient in legal secretarial and administrative tasks including, but not limited to, document preparation, filing, time entry, expenses, telephone contact, travel arrangements, and calendar maintenance</li>
<li>Must be familiar with local court rules; preferably familiar with Missouri and Illinois state court rules and federal court rules</li>
<li>Possess exceptional organizational skills, attention to detail, ability to prioritize, work independently, and multi-task a must. Ability to work in a fast paced, high-volume environment</li>
<li>Strong interpersonal and communication skills and excellent client service</li>
<li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) required. Knowledge of Intapp, iManage, ChromeRiver/Emburse, a plus.</li>
<li>Must have a solid ability to learn and adapt to new software programs</li>
<li>Excellent written and oral communication and strong organizational skills</li>
<li>Must be detail oriented, able to handle multiple tasks simultaneously and have the ability to prioritize incoming/outgoing tasks</li>
<li>Ability to work effectively independently and within a team environment</li>
<li>Must be able to work overtime as needed</li>
