Position Summary</b></h3><p>
DSSW is seeking a detail-oriented and proactive <b>Corporate HR Electronic Records Coordinator</b> to support our Corporate Human Resources Department. This role is vital in ensuring the accuracy, compliance, and integrity of personnel records across the organization. The ideal candidate will be a strong communicator, highly organized, and comfortable working independently and collaboratively in a fast-paced, process-driven environment.</p><p></p><h3 class="jobSectionHeader"><b>
Key Responsibilities</b></h3><ul><li>
Serve as the primary liaison between assigned office locations and the HR department for personnel records management.</li><li>
Monitor and follow up on expired employee documents, sending reminders and ensuring timely updates.</li><li>
Respond to inquiries from employees and office staff regarding personnel records and documentation requirements.</li><li>
Maintain and update electronic and paper-based personnel files using the company&rsquo;s HRIS and service management systems.</li><li>
Conduct routine audits to ensure consistency and accuracy between personnel files and system entries.</li><li>
Monitor personnel rosters to ensure accurate employment status is reflected.</li><li>
Ensure all records comply with applicable laws, regulations, and internal policies.</li><li>
Provide support during internal and external audits, including licensure and compliance reviews.</li><li>
Maintain strict confidentiality and adhere to all federal, state, and company policies.</li><li>
Perform other related duties as assigned.</li></ul><p></p><h3 class="jobSectionHeader"><b>
Required Skills &amp; Attributes</b></h3><ul><li>
Strong ability to work independently and manage records with minimal supervision.</li><li>
Excellent organizational and time management skills with a keen attention to detail.</li><li>
Effective communication skills, both written and verbal.</li><li>
Strong interpersonal skills, including active listening and professional interaction with diverse stakeholders.</li><li>
Ability to follow instructions and adapt to changing priorities.</li><li>
Comfortable working with healthcare professionals, clients, families, and the general public.</li><li>
Proficient in reading, writing, and communicating in English.</li></ul><p></p><h3 class="jobSectionHeader"><b>
Qualifications</b></h3><ul><li>
High school diploma or GED required.</li><li>
Minimum of 2 years of experience in a formal records management setting preferred.</li><li>
Training in records management is a plus.</li><li>
Proficiency in Microsoft Office applications, especially Excel.</li><li>
Experience with online records management tools, scanning/imaging documents, and complex database systems preferred.</li><li>
Ability to manage sensitive situations and meet deadlines under pressure.</li><li>
Must be able to type at least 35 WPM with 80% accuracy and demonstrate 80% accuracy in Excel.</li><li>
Ability to quickly learn and navigate agency-specific software.</li></ul><p></p><h3 class="jobSectionHeader"><b>
Physical Requirements</b></h3><ul><li>
Ability to sit for extended periods.</li><li>
Manual dexterity for keyboard use and document handling.</li><li>
Clear verbal communication and normal hearing and vision capabilities.</li><li>
