<div><b>Job Summary</b></div>
<div>
The Hawesville Paper Mill is seeking an <b>Administrative Assistant</b> to provide comprehensive administrative support to the Operating Area and Business Unit leadership team. This position is responsible for managing day-to-day administrative operations, supporting production and reporting activities, and ensuring effective coordination of office functions within a fast-paced manufacturing environment.</div>

The Administrative Assistant plays a key role in maintaining organization, communication flow, and operational efficiency while delivering a high level of internal and external customer service.</div>

<div><b>Key Responsibilities</b></div>
<div>
The Business Unit Administrative Assistant performs a wide range of administrative support duties, including but not limited to the following:</div>
<div><b>
Administrative &amp; Business Unit Support</b></div>
<ul>
<li>Provide administrative support to the Business Unit leadership team and team members</li>
<li>Support daily production reporting and assist with month-end administrative activities.</li>
<li>Prepare, format, and distribute documents, reports, presentations, hourly schedules and correspondence.</li>
<li>Maintain calendars, schedule meetings, and coordinate conference rooms.</li>
<li>Answer and route phone calls, greet visitors, and manage communications professionally.</li>
<li>Maintain filing systems and ensure accurate recordkeeping.</li>
</ul>
<div><b>Office Operations</b></div>
<ul>
<li>Manage day-to-day office operations to ensure efficient workflow.</li>
<li>Maintain office, safety, and administrative supplies.</li>
<li>Coordinate maintenance and service of office equipment.</li>
<li>Perform monthly inventory counts for assigned materials and supplies.</li>
<li>Support department purchases, invoices, and expense reporting.</li>
<li>Provide general accounting and clerical support assigned.</li>
</ul>
<div><b>Coordination &amp; Cross-Functional Support</b></div>
<ul>
<li>Assist with coordination of business unit activities, meetings, and events.</li>
<li>Cross-train and provide administrative coverage as needed.</li>
<li>Support internal communications and mass mailings.</li>
<li>Demonstrate flexibility to support changing business needs and priorities.</li>
</ul>
<div><b>Additional Responsibilities</b></div>
<ul>
<li>Demonstrate strong attention to detail, organization, and follow-through.</li>
<li>Apply creativity and initiative to improve administrative processes.</li>
<li>Willingly initiate and support community outreach and engagement activities.</li>
<li>Maintain professionalism and discretion when handling sensitive information.</li>
</ul>
<p></p><div><b>Minimum Qualifications</b></div>
<ul>
<li>High school diploma or GED required.</li>
<li>Minimum three (3) years of administrative support experience.</li>
<li>Strong organizational and time-management skills.</li>
<li>Ability to work independently with minimal supervision.</li>
<li>Excellent verbal and written communication skills.</li>
<li>Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.</li>
<li>Ability to manage multiple priorities in a fast-paced environment.</li>
<li>Dependable, adaptable, and customer-service oriented.</li>
</ul>
<p></p><div><b>Preferred Qualifications</b></div>
<ul>
<li>Associate or bachelor&rsquo;s degree in a related field.</li>
<li>Advanced proficiency in Microsoft Word, Excel, and PowerPoint.</li>
<li>Experience supporting leadership in a manufacturing or industrial environment.</li>
<li>Familiarity with production reporting and month-end administrative processes.</li>
<li>Proficiency with virtual meeting and conferencing tools.</li>
<li>Demonstrated analytical thinking and problem-solving skills.</li></ul><br>
