1. Key Roles &amp; Responsibilities <ul><li>Identify potential vendors/suppliers, gather, and analyze information on them; recommend prospective vendors to Management</li><li>Conduct market research to ascertain the best products and services in terms of value, delivery schedule and quality</li><li>Obtain cost estimates for materials, supplies, and services</li><li>Generate inquiries and conduct meetings with suppliers/subcontractors</li><li>Evaluate bids and make recommendations based on commercial and technical factors</li><li>Negotiate pricing contracts with subcontractors and suppliers to get low costs or competitive pricing and to secure advantageous terms</li><li>Organize purchase request forms, communication between company and supplier, bid evaluation forms and purchase orders and other relevant files</li><li>Monitor contracts progress, regularly checking the quality of product or service provided</li><li>Maintain records of approved suppliers and periodically evaluate vendor performance (e.g., conformance with stated requirements, trends, anomalies)</li><li>Regularly review the subcontractors&rsquo; procurement progress, the scope of work and commercial terms</li><li>Correspond with various other departments, discussing company plans and agreeing on future initiatives</li><li>Develop and implement strategies for procuring, storing, and distributing goods or services and maintaining stock levels</li><li>Develop, update and document all Procurement related processes, forms templates and tracking records</li><li>Align Procurement procedures with the Total Quality Management System and ISO standards</li><li>Comply with overall organizational processes to ensure internal approvals are obtained in accordance with approved procurement policies and the Authority</li><li>Forecast level of demand for services and products to meet business needs of the client</li><li>Forecast price trends and their impacts on future activities</li><li>Monitor business trends and product availability to pay the best price for company goods and services without sacrificing quality or delivery times</li><li>Perform cost analysis and set appropriate benchmarks</li><li>Coordinate with the Finance department to ensure accurate and timely payments of invoices</li><li>Assist in settling invoice or contract disputes</li><li>Enter order details (e.g., vendors, quantities, prices) into internal databases</li><li>Maintain updated records of purchased products, delivery information and invoices</li><li>Prepare reports on purchases, including cost analyses</li><li>Monitor stock levels and place orders as needed</li><li>Coordinate with warehouse staff to ensure proper storage</li><li>Project Support &amp; Planning</li><li>Inventory Management</li><li>ERP development</li></ul>Support the rollout and successful implementation of procurement modules linked to an organizational ERP systemAny other duties as given by the Line Manager<ul><li>Experience / Education / Training</li><li>Bachelor's degree in Business Administration, Logistics, Supply Chain Management or a related field</li><li>Proven work experience as a Procurement Officer or similar role</li><li>Excellent communications and negotiation skills with suppliers and internal customers</li><li>Good knowledge of vendor sourcing practices (researching, evaluating and liaising with vendors)</li><li>Hands-on experience with purchasing software</li><li>Understanding of supply chain procedures</li><li>Solid analytical skills, with the ability to create financial reports and conduct cost analyses</li><li>Negotiation skills</li></ul>Job Type: Full-timePay: AED5,000.00 - AED7,000.00 per month
