Supports multiple Senior Vice President Regional Manager(s) of 20+ banking offices by performing a variety of administrative duties involving matters that are often complex and confidential in nature. Duties include developing and preparing numerous reports, preparing or approving and submitting requests for Retail systems access and various levels of signing and wire authorities, assisting with the preparation of regional employee salary recommendations, and handling sensitive customer issues and information.<br>
<br>
<b>Administrative</b></p><ul><li>
Prepare multiple weekly, monthly, and quarterly reports of regional sales and service activities, and jointly with the Regional Manager, analyze information to identify trends and conduct research for areas needing further information.</li><li>
Conduct research as needed to resolve any outstanding sales or service issues.</li><li>
Analyze monthly budget reports to ensure branches are within annual requirements. Where issues are identified, present them to senior management for discussion and resolution.</li><li>
Bi-Weekly review of eTime Manager</li><li>
Ensuring non-exempt employee timecards are approved and signed off by a branch management member by the communicated deadline.</li><li>
Confirming employees are authorized to sign off on timecards.</li><li>
Maintain complex and detailed calendars.</li><li>
Responsible for the coordination and logistics of both internal and external meetings</li><li>
Organize all aspects of offsite conferences and external events, including catering.</li><li>
Expense Management &ndash; Processing invoices and expense claims for team members. Prepares monthly expense report for manager. Ensure all policies are followed and items are processed within guidelines. Subject matter experts for policies and procedures</li><li>
Produce high quality emails and messages to individuals at all levels of the organization.</li><li>
Handle regular activities without prompting in advance without issues or delays.</li><li>
Assist in editing spreadsheets and presentations including printing and binding for client meetings.</li><li>
Work cooperatively with administrative assistants&rsquo; team, in positive partnership to back up each other smoothly.</li><li>
Lead and coordinate in adhoc projects as requested.</li></ul><p></p><p><br>
Prepare and submit all Regional Human Resource/Technology paperwork related to newly hired, promoted, or transferred Retail employees, and assist in the preparation of regional employee salary recommendations.</p><ul><li>
Determine the appropriate level of authority based on position.</li><li>
Prepare and submit all required Human Resource documentation.</li><li>
Prepare and submit all required technology, wire, and signing authority documentation to appropriate parties.</li><li>
Maintain regional staffing database.</li><li>
Communicate any staffing changes to the appropriate divisions / interested parties.</li><li>
Conduct an extensive annual systems User Rights Review for all regional employees.</li><li>
Prepare work schedules for all regional floating staff.</li><li>
Assist regional manager in the completion of confidential salary recommendation worksheets during annual review cycles as necessary.</li><li>
Act as a first line of contact for significantly complex customer issues that could not be resolved at the branch level.</li><li>
Research and prepare responses on behalf of the Regional Manager for all regional customer issues that reach the Office of the President, both written and verbal, within 24 hours of receipt.</li></ul><p></p><p><b><br>
Problem Solving &amp; Decision Making:</b></p><ul><li>
Incumbent has the authority to use discretion in some circumstances, but if/when written policy is unclear or there is any uncertainty, the regional assistant should seek guidance from his/her Regional Manager or Retail Administration.</li></ul><p><b>
Education and Experience</b></p><ul><li>
Associates Degree or and 2 &ndash; 3 years of related job experience or equivalent combination of training and experience is required.</li>

This position requires a self-starter with strong organizational skills who is technologically proficient, particularly with MS Word, Excel, and Access.<br>

Service Associates are skilled in the duties of both a Customer Service Representative (sales on the platform), and Teller (transactions at the teller line).
</p><p><b>Major Responsibilities:</b></p><p>
Simultaneously performs the duties of a traditional branch customer service representative and teller, primarily in specific traditional branch locations where such a &ldquo;hybrid&rdquo; position is authorized.<br>

Account Representative Duties:</p><p>
Works toward achieving specific individual sales and service goals through the following activities:</p><ul><li>
Opens deposit accounts</li><li>
Prepares and processes loan applications for various lending units (mortgage, consumer, small business, etc.)</li><li>
Closes loans for customers for applicable business lines (i.e. consumer lending)</li><li>
Makes referrals to other bank business lines and third-party partners</li><li>
Proactively reaches out, by phone and in person, to high-value customers in efforts to retain and grow the portfolio</li><li>
Responsible for operational compliance and adherence to policy</li><li>
Handles daily account maintenance and other service issues as necessary</li><li>
Understands and provides support in achieving quarterly sales</li></ul><p>
Teller Duties:</p><ul><li>
Process deposits to customer accounts; includes verification of cash, verification of endorsements, and providing customers with receipts</li><li>
Cash checks for customers and non-customers according to bank policy</li><li>
Process and properly record the sale of monetary instruments (i.e. official bank checks)</li><li>
Properly file all government-mandated reports related to large cash transactions and the sale of all monetary instruments</li><li>
Process foreign currency purchases and sales</li><li>
Process various types of loan payments and credit card cash advances</li><li>
Relative to all duties, must adhere to all bank policies and procedures</li></ul><p>
Individuals in this position will have a mixture of time between platform and teller line. On some occasions more time might be spent on one side verses the other.</p><p><b>
Qualifications:</b></p><ul><li>
Incumbent has the authority to use discretion in some circumstances, but if/when written policy is unclear or there is any uncertainty, the service associate should seek guidance from his/her immediate supervisor.</li><li>
Incumbent must have the ability to work independently, multi-tasking in a fast-paced environment. Individual should be an outgoing self-starter and be technically literate.</li><li>
High school diploma or equivalent required</li><li>
1-2 years of sales experience in a retail, financial services or hospitality environment preferred.</li><li>
Some banking experience is preferred (e.g., teller or otherwise) is a plus.</li><li>
Basic business acumen and professionalism is a must.</li><li>
The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.</li><li>
Ability to build relationships and strong alliances across the organization.</li><li>
Ability to quickly learn all details about the products and services offered by the bank.</li></ul><p><b>
Working Conditions:</b></p><ul><li>
Ability to remain in a stationary position for long periods of time without a break and with continuous customer contact.</li><li>

PURPOSE/OBJECTIVE</b><b>:</b>
</p><p>To assist with procurement activities related to supply ordering, purchase requisitions and the issuance of purchase orders. General mail facilitation to support branch supply orders. Facilitation and execution of user set ups with vendors. Provides support to the buyers as needed ensuring documentation is captured as required, including W9&rsquo;s.</p><p><b>
MAJOR RESPONSIBILITIES</b><b>:
</b></p><ul><li><p>Review purchase requisitions for accuracy and completeness and generate purchase orders in accordance with established policies to support timely procurement of goods and services.</p></li><li><p>
Monitor warehouse supply levels and reorder materials to ensure adequate inventory and uninterrupted operations.</p></li><li><p>
Maintain and manage user access for warehouse and office supply vendor systems, ensuring appropriate access and system accuracy.</p></li><li><p>
Process invoices and assign appropriate general ledger codes to ensure accurate financial recording and compliance with accounting standards.</p></li><li><p>
Investigate and resolve branch-level supply issues, coordinating with vendors and internal teams to ensure timely resolution and continuity of operations.</p></li><li><p>
Provide responsive phone and email support to internal business partners regarding supply orders, status updates, and related inquiries.</p></li><li><p>
Reconcile departmental corporate credit card transactions, ensuring accuracy, proper documentation, and adherence to company policies.</p></li><li><p>
Assist in coordinating records retention activities, including facilitating secure document destruction in compliance with regulatory and organizational requirements.</p></li></ul><p></p><p><b><br>
PROBLEM SOLVING &amp; DECISION MAKING</b><b>:</b></p><p>

Physical Demands:</b></p><p>
While performing the duties of this job, the employee must be able to remain in a stationary position 50% of the time. The employee frequently is required to operate a computer and other office productivity machinery, such as a calculator, copy machine, and printer.
