Job Summary We are seeking a dynamic and detail-oriented Accounts Payable/Admin Assistant to join our finance team. This vital role combines accounts payable responsibilities with administrative support, ensuring smooth financial operations and efficient office management. The ideal candidate will be proactive, organized, and possess a strong understanding of accounting principles and software systems. Your contributions will help maintain accurate financial records, streamline payment processes, and support overall organizational efficiency.Duties<ul><li>Process and verify invoices, expense reports, and purchase orders using accounting software such as QuickBooks, Floorzap, Microsoft Excel</li><li>Manage accounts payable functions, including timely payments, vendor reconciliations, and maintaining accurate records</li><li>Perform data entry with precision for financial transactions, ensuring compliance with GAAP (Generally Accepted Accounting Principles)</li><li>Assist with account reconciliation activities, including general ledger and bank statement matching</li><li>Support payroll management tasks</li><li>Maintain organized files for financial documents, invoices, and correspondence in accordance with SOX (Sarbanes-Oxley Act) compliance standards</li><li>Provide administrative assistance such as scheduling meetings, managing correspondence, and supporting HRIS (Human Resources Information System) data entry</li></ul>Skills<ul><li>Mandatory Skills: Quickbooks Online, Microsoft Word, Excel Spreadsheets, Accounts Payable/Receivable are all mandatory skills needed</li><li>Strong knowledge of accounting concepts including debits &amp; credits, double-entry bookkeeping, and journal entries</li><li>Experience with accounting software such as QuickBooks, Sage, PeopleSoft, Ceridian, or similar platforms</li><li>Familiarity with payroll systems like ADP or UltiPro and benefits administration processes</li><li>Ability to perform account reconciliation and general ledger accounting accurately</li><li>Excellent analysis skills to identify discrepancies and resolve issues efficiently</li><li>Proficiency in data entry with high accuracy (10 key typing skills preferred)</li><li>Knowledge of governmental accounting standards and non-profit accounting practices is a plus</li><li>Strong organizational skills with the ability to prioritize tasks in a fast-paced environment</li></ul>Join us to be part of a vibrant team dedicated to operational excellence!
