We strive to handle each matter with accountability and responsiveness, as if we were representing ourselves.About YOU:Our company is looking for a professional front desk clerk to oversee all receptionist and secretarial duties at our main entrance desk. You will perform a range of duties including answering phone calls, managing the mail, and maintaining the office.Your central goal is to provide our clients with outstanding customer service and support. As the &lsquo;face&rsquo; of our company, the successful candidate will be presentable and friendly, with outstanding people&rsquo;s skills. You should have a talent for multi-tasking, with excellent communication and organizational skills.Job Duties:<ul><li>Greet guests and provide them with superb customer service.</li><li>Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper.</li><li>Accept all letters and packages and distribute them to their appropriate departments.</li><li>Monitor, organize and forward emails.</li><li>Maintain records and files.</li><li>Offer water, coffee, or soda to all guests.</li><li>Book conference room for meetings.</li><li>Answer all calls directed to that specific office.</li><li>Clean conference rooms after meetings and always keep presentable.</li><li>Ensure the breakroom is stocked and clean.</li><li>Vacuum office space when needed.</li><li>Break down all delivery boxes.</li><li>Keep track of needed supplies and get list to employee relations to order.</li><li>Pick up all mail from mailbox.</li><li>Process all daily incoming mail by opening and scanning.</li><li>Scan all incoming mail into the correct file.</li><li>Distribute scanned mail to teams.</li><li>Proficient use of scanning, copying and postage machines.</li><li>Drop off daily outgoing mail in mailbox.</li><li>Scan, verify and upload all client documents including CDs and images into client file.</li><li>Assist with scanning settlement checks into client file.</li><li>Process and scan all vendor issued settlement checks.</li></ul>Requirements:<ul><li>High school diploma or relevant qualification</li><li>A minimum of 2 years of proven experience in a similar role</li><li>Good understanding of office administration and basic bookkeeping practices</li><li>Superb written and verbal communication skills</li><li>Excellent organizational and multi-tasking abilities</li><li>Strong knowledge of MS Office programs</li><li>Will report to facility coordinator/manager in each market</li><li>Must speak Spanish and English</li></ul>Job Type: Full-timePay: From $16.00 per hourBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Language:<ul><li>Spanish (Preferred)</li></ul>Work Location: In person
