Guardianship Finance &amp; Operations SpecialistAdvocacy Programs / Family Service Association, Inc.Position OverviewThe Guardianship Finance &amp; Operations Specialist is responsible for managing the financial aspects of guardianship cases while also providing administrative, accounting, and operational support to the agency. This role ensures compliance with state statutes and applicable laws related to guardianship and conservatorship, including inventories, accountings, reporting, and allowable expenses.In addition, this position supports staff in meeting client needs, promotes the mission of the agency, and assists with daily operations such as scheduling, communications, financial processing, and reporting. The role requires strong attention to detail, sound judgment, and the ability to manage multiple responsibilities while acting in the best interest of the wards served. This position may also provide guidance or support to other team members.Key ResponsibilitiesGuardianship Financial Management<ul><li>Determine and verify all assets and income for new wards</li><li>Prepare and file initial inventories with the court</li><li>Prepare and file annual and final accountings</li><li>Communicate with the Register in Probate on financial matters</li><li>Reconcile trust and client bank accounts</li><li>Coordinate with financial institutions to access client funds</li><li>Petition for fee orders and distribute to appropriate parties</li><li>Manage guardianship accounts receivable (A/R)</li></ul>Benefits &amp; Eligibility Coordination<ul><li>Assist with Social Security applications and monitor status</li><li>Complete and manage Representative Payee applications</li><li>Coordinate new representative payee intakes</li><li>Perform Social Security audits when new COLAs (Cost-of-Living Adjustments) are issued</li><li>Report income changes to Social Security</li><li>Initiate and maintain Medicaid applications and renewals</li><li>Monitor Medicaid eligibility</li><li>Assist with FoodShare applications</li></ul>Accounting &amp; Financial Operations<ul><li>Enter payments, deposits (EFT, checks, cash), and bills in QuickBooks</li><li>Record credit card transactions</li><li>Process inter-agency invoices and payments</li><li>Enter invoices for Family Service Association and select Advocacy invoices</li><li>Enter payroll and month-end journal entries</li><li>Reconcile monthly bank statements (multiple accounts)</li><li>Produce and maintain monthly board financial reports</li></ul>Financial Oversight &amp; Client Support<ul><li>Educate and support guardians on budgeting, spenddowns, and allowable expenses</li><li>Maintain accurate documentation in the client management system</li></ul>Administrative &amp; Operational Support<ul><li>Schedule and confirm appointments</li><li>Monitor emails, voicemails, faxes, and client communications</li><li>Collect fees and assist with invoicing</li><li>Open and distribute mail</li><li>Prepare weekly deposits and perform reconciliations</li><li>Audit client case files for reporting</li><li>Take board and committee meeting minutes</li><li>Support data collection and reporting</li><li>Collaborate with administrative team members</li><li>Perform other duties as assigned</li></ul>Minimum Qualifications<ul><li>Bachelor&rsquo;s degree in accounting, finance, business, or related field or</li><li>High school diploma with extensive experience in accounting and administration</li><li>Ability to work independently and manage multiple priorities</li></ul>Skills and Competencies<ul><li>Proficiency in Microsoft Office (Word, Excel, Outlook)</li><li>Proficiency in QuickBooks (required)</li><li>Strong organizational and analytical skills</li><li>Excellent communication skills</li><li>High attention to detail and ethical judgment</li><li>Ability to work collaboratively</li></ul>Preferred:<ul><li>Experience with CPR or similar software</li><li>Spanish bilingual</li><li>Nonprofit experience</li></ul>Equal Opportunity EmployerAdvocacy Programs (Family Service Association, Inc.) is an Equal Opportunity Employer. This role focuses on empowering individuals to improve their financial stability through budgeting, credit building, debt management, and financial literacy. The position also includes community outreach and educational workshops to expand access to financial resources.Credit Counseling: The Financial Counselor and Educator will be accountable for establishing relationships with clients, as well as identifying client needs, analyzing their credit situation, preparing a budget, establishing creditor payment schedules, and implementing repayment programs. In addition, The Financial Counselor and Educator will be expected to prepare and conduct public presentations for the agency.Responsibilities and Duties:<ul><li>Provide one-on-one financial counseling to clients, including assessment of financial situations and development of personalized action plans</li><li>Educate clients on budgeting, saving, credit building, debt reduction, and overall financial wellness</li><li>Assist clients in navigating financial systems, including banking, credit reports, and public assistance programs</li><li>Conduct financial education workshops, group sessions, and community presentations</li><li>Develop and maintain relationships with community partners, including banks, schools, and local organizations</li><li>Track client progress and maintain accurate, timely documentation and reports within the CRM.</li><li>Support outreach initiatives, including events such as &ldquo;Lunch &amp; Learn&rdquo; sessions and community engagement activities</li><li>Stay current on financial trends, regulations, and available community resources</li><li>Collaborate with internal teams to ensure coordinated services and client success Assist clients by analyzing the current credit situation, offering basic training to educate client on credit and budgeting techniques.</li><li>Accurately generate and complete administrative paperwork required for each counseling session.</li><li>Act as a team player with agency staff, partnering with the entire agency team to continually improve the services offered to clients.</li><li>Become a Certified Consumer Credit Counselor within six months of employment; maintain Certified Consumer Credit Counselor designation by meeting all the necessary requirements.</li><li>Attend State, Regional, and National meetings, as required.</li><li>Occasional travel is required. This is not limited to Sheboygan County.</li><li>Normal work week is forty (40), with occasional nights and weekends.</li><li>Must be willing to become NFCC and HUD Certified Counselor date</li></ul>Qualifications:<ul><li>Experience in financial counseling, education, or case management</li><li>Understanding of budgeting, credit, debt management, and financial literacy principles</li><li>Strong communication and interpersonal skills</li><li>Ability to build trust and work effectively with diverse populations</li><li>Strong organizational and documentation skills</li><li>Experience with data tracking and reporting systems is a plus Must feel comfortable with public speaking and teaching</li><li>Must be a self-starter, able to work individually as well as in a team environment, enjoy working with people-prior experience dealing with customers preferred.</li><li>Working knowledge of Microsoft Word and Excel required.</li><li>Must have a valid driver&rsquo;s license and reliable transportation.</li><li>May require evening or weekend client appointments.</li></ul>Consumer Credit Counseling Service (a.k.a.
