Duties<ul><li>
Greet visitors and manage front desk responsibilities with professionalism and warmth</li><li>
Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette</li><li>
Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications</li><li>
Perform data entry tasks accurately, including updating records in QuickBooks and other office management software</li><li>
Support scheduling activities such as calendar management and appointment setting for staff and clients</li><li>
Handle clerical duties like proofreading documents, managing correspondence, and preparing reports</li><li>
Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial record keeping</li><li>
Manage office supplies inventory and coordinate procurement as needed to ensure smooth operations</li></ul>
Experience<ul><li>
Prior office management or administrative experience in a professional setting is required</li><li>
Demonstrated proficiency with computer literacy tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace</li><li>
Experience with QuickBooks or similar accounting software is highly desirable</li><li>
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment</li><li>
Excellent customer service skills with a friendly demeanor and strong phone etiquette</li><li>
Bilingual abilities are a plus to support diverse client interactions</li><li>
Previous experience as a dental or medical receptionist or personal assistant is advantageous but not mandatory</li><li>
Proven ability to handle multiple responsibilities simultaneously while maintaining accuracy and professionalism</li></ul>
