<div>Job Summary:

The Executive Assistant provides high-level administrative support to senior executives by managing schedules, coordinating meetings, handling communications, and ensuring efficient daily operations. This role requires exceptional organizational skills, discretion, and the ability to handle sensitive information with professionalism. The Executive Assistant also supports strategic projects and may oversee or coordinate cross-functional administrative activities as needed.

Key Responsibilities:
<ul><li>Provide a positive, fun, and welcoming first impression to employees, customers, and vendors alike.
</li><li>Manage calendars, schedule appointments, and coordinate meetings across multiple time zones.
</li><li>Serve as the first point of contact by answering phones, directing calls, and maintaining a welcoming reception environment.
</li><li>Serve as a point of contact between executives, staff, and external partners.
</li><li>Support the planning and execution of events, meetings, and special projects.
</li><li>Perform general administrative duties such as filing, data entry, and office organization.
</li><li>Coordinate travel arrangements for team members as needed
</li><li>Run business-related errands, such as picking up supplies, delivering documents, or coordinating event-related needs.
</li><li>Support administrative processes and cross-functional coordination as assigned.
</li><li>Draft, edit, and format correspondence, reports, and presentation materials.
</li><li>Maintain oversight of department and project budgets, including expense tracking, reporting, and variance analysis.
</li><li>Develop and maintain effective partnerships with vendors and service providers.
</li><li>Coordinate and host to special events/projects and perform other related duties as required such as preparation, cleaning, and ordering.
</li><li>Coordinate and maintain office atmosphere and environment.
</li></ul>Required Skills &amp; Abilities:

</li><li>Ability to manage and prioritize multiple tasks with strong organizational skills and keen attention to detail.
</li><li>Ability to provide on-site support through travel to multiple studio locations as required.
</li><li>Ability to maintain confidentiality with a high level of emotional intelligence and professionalism.
</li><li>Advanced computer skills with Google Workspace, project management software (Monday), Microsoft Outlook and virtual meeting platforms (Zoom, GoTo Meeting, Webex)
</li><li>Strong ability to communicate effectively both orally and in writing.
</li><li>Coordinate recognition of special occasions like birthdays and anniversaries.
</li><li>Strong background in calendar management, including scheduling across multiple time zones and shifting priorities.
</li><li>Strong problem-solving skills with a proactive approach to identifying and resolving challenges.
</li></ul>Education &amp; Experience:
<ul><li>High school diploma or equivalent required.
</li><li>Bachelor&rsquo;s degree or a combination of education and experience preferred.
</li><li>Minimum of 3 years&rsquo; of demonstrated experience within an administrative role.
</li></ul>Physical Requirements:
<ul><li>Prolonged periods sitting at a desk and working on a computer.
</li>Must be able to lift fifteen pounds at times.
