Overview We are seeking a dynamic and organized Front Office Administrator to join our team! In this vital role, you will be the first point of contact for visitors and clients, ensuring smooth daily operations at the front desk. Your energetic approach and exceptional organizational skills will help create a welcoming environment while managing administrative tasks efficiently.Responsibilities<ul><li>Greet clients warmly (both in-person and over phone), providing excellent customer service and maintaining professional phone etiquette</li><li>Handle incoming and outgoing correspondence, including emails, mail, and purchase orders</li><li>Create and send invoices and collect payments</li><li>Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored</li><li>Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and general administrative support</li><li>Liaison between customers and production team</li><li>Assist production team in project scheduling</li></ul>Experience<ul><li>Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications</li><li>Experience with multi-line phone systems, data entry, filing, and general administrative tasks</li><li>Knowledge of bookkeeping software such as QuickBooks is a plus for supporting basic financial tasks</li><li>Excellent time management skills with the ability to prioritize tasks in a fast-paced environment</li></ul>Other Details<ul><li>Ideal candidate would be on-site M-Th from 8am-4pm and can work from home on Fridays</li><li>May be asked to run local errands (mileage reimbursed)</li></ul>Join us as a Front Office Administrator to be the friendly face of our organization while ensuring seamless office operations.
