We are currently seeking a highly detail-oriented Executive Assistant (EA) to support two senior leaders across a variety of operational, research, and reporting functions. This is not your typical EA role&mdash;it goes beyond calendar and inbox management. The ideal candidate will be someone who thrives on working with data, automating workflows, and driving process efficiency.

Key Responsibilities
<ul>
<li>Serve as a right-hand support to two executives across day-to-day priorities involving data, operations, and process improvement.</li>
<li>Track and manage data from various sources, including Amazon, Shopify, and internal systems, to generate insights and business reports.</li>
<li>Create and maintain Excel-based reports and dashboards with accuracy&mdash;must be comfortable manipulating columns, formulas, and large data sets.</li>
<li>Enter data into pre-designed templates to support sales, marketing, and inventory dashboards.</li>
<li>Conduct online research for product and pricing analysis&mdash;including MAP monitoring, competitor tracking, and industry trends.</li>
<li>Draft and document Standard Operating Procedures (SOPs) in Word to standardize workflows across teams.</li>
<li>Support automation of recurring tasks&mdash;experience with AI automation tools (e.g., Zapier, ChatGPT, Notion AI, etc.) is a strong plus.</li>
<li>Assist with executive calendar management, scheduling, and coordination of meetings.</li>
<li>Occasionally support marketing teams with content uploads (images, basic SEO) on websites or social media.</li>
<li>Participate in candidate research and assist with interviews as needed for recruitment efforts.</li>
</ul>
What We're Looking For
<ul>
<li>At least 2 years of relevant experience in an EA, operations, or data-driven admin role.</li>
<li>Advanced Excel skills are essential&mdash;you should be confident in data analysis, pivot tables, and formula-based reporting.</li>
<li>Strong proficiency in digital tools including Google Search, Amazon, Shopify, Outlook, Teams, and Microsoft Word.</li>
<li>A proactive, process-oriented mindset with a high degree of ownership and organizational rigor.</li>
<li>Ability to manage multiple projects with excellent attention to detail and follow-through.</li>
<li>Strong communication skills&mdash;written and verbal&mdash;with the ability to interact professionally with internal teams and external partners.</li>
<li>Experience with AI tools or automation software is a big advantage.</li>

Role Overview

Parsel is looking for a highly organized and proactive Operations and Dispatch Specialist to join the team on a full-time, permanent basis. In this role, you will play a critical part in managing shipping operations, from securing carrier quotes to providing real-time dispatch support. The ideal candidate is detail-oriented, excels at coordination, and is comfortable working in a fast-paced logistics environment.

Key Responsibilities

<li>Request, compare, and manage shipping quotes to secure cost-effective and reliable carrier options.</li>
<li>Schedule and reschedule pick-up services with carriers to meet client timelines.</li>
<li>Provide real-time dispatch assistance, ensuring smooth communication between carriers, clients, and internal teams.</li>
<li>Create and maintain a process-driven, detail-oriented approach to problem-solving and operations</li>
<li>Demonstrate agile thinking and the ability to quickly adapt to changing situations, tools, or priorities</li>
<li>Coordinate with carriers on shipment status, updates, and any changes to schedules.</li>
<li>Audit shipping invoices and perform basic reconciliations to ensure billing accuracy.</li>
<li>Track and document shipping activities to maintain operational visibility.</li>
<li>Identify and resolve shipping-related issues quickly and effectively.</li>
<li>Support continuous process improvements within shipping and dispatch functions.</li>
</ul>
Qualifications
<ul>
<li>1&ndash;3 years of experience in shipping, logistics, or transportation coordination.</li>
<li>Strong organizational skills with the ability to manage multiple requests simultaneously.</li>
<li>Excellent communication and interpersonal skills to liaise effectively with carriers and clients.</li>
<li>Familiarity with invoice auditing and basic reconciliation processes.</li>
<li>Proficiency in using spreadsheets (Google Sheets, Microsoft Excel) for tracking and reporting.</li>
<li>Ability to work independently and thrive in a fast-paced, high-volume environment.</li>
<li>Flexibility to align with US West Coast business hours.</li>
