The Project Coordinator will deliver exceptional customer service by effectively educating and guiding customers through a step-by-step overview of the claim and loss process. Serving as the primary point of contact, this position will function as a liaison between customers and the management team.

Essential Job Duties and Responsibilities

Project Coordination
<ul><li>
Manage incoming calls and emails, responding to inquiries from both customers and adjusters.</li><li>
Coordinate project-related activities, schedules, and resources.</li><li>
Track project progress and maintain project calendars.</li><li>
Complete invoicing within 24 hours of notification by the Project Manager or Manager.</li><li>
Collecting and processing customer payments in QuickBooks Online and White Board software.</li><li>
Assistance in Xactimate and XactAnalysis software.</li><li>
Daily meeting with the Operations team.</li></ul>

Documentation and Reporting
<ul><li>
Gather loss details and create jobs in CRM.</li><li>
Review all new jobs entered into CRM for accuracy.</li><li>
Record all customer conversations and input notes into CRM.</li><li>
Review jobs for final closure and complete the closure process in CRM.</li><li>
Maintain project documentation, including project plans, reports, and records.</li></ul>

Communication
<ul><li>
Ensure customers are informed about all the services the company provides and promote additional divisions when applicable.</li><li>
Coordinate follow-ups with customers to ensure understanding and satisfaction.</li><li>
Follow up with all customer complaints or questions and keep the manager informed of all issues.</li></ul>

Scheduling
<ul><li>
Verify the availability of the project manager and schedule the initial appointment.</li></ul>

Problem Resolution
<ul><li>
Identify potential project risks and issues and report them to the Project Manager or Manager.</li><li>
Address and resolve issues or inquiries from visitors and staff in a professional manner.</li><li>
Escalate issues to the appropriate department or personnel when necessary.</li></ul>

Knowledge, Skills, and Abilities Requirements
<ul><li>
Proficient in the English language.</li><li>
Bilingual abilities are considered an advantage.</li><li>
Clear criminal background record.</li><li>
Strong customer service skills.</li><li>
Strong organizational and multitasking abilities.</li><li>
Exceptional communication skills, both written and oral.</li><li>
Familiarity with CRM databases is advantageous.</li><li>
Proficient understanding of Microsoft Office suite, Windows operating systems, and internet usage.</li></ul>

Education and Work Experience Requirements

An equivalent combination of the following education and experience would be acceptable for qualification. A common method of acquiring the necessary knowledge, skills, and abilities is:
<ul><li>
Bachelor&rsquo;s degree in finance, accounting, business administration, or a related field, or equivalent work experience.</li><li>
Minimum of 2 years of experience in the disaster relief industry.</li></ul>

Physical and Other Requirements
