Role Overview:<ul><li>We are looking for a Project Controls and Operations Analyst to be the &ldquo;control tower&rdquo; behind our projects.</li><li>This is a mid-level, hands-on role that sits at the intersection of Delivery, Finance, and Operations.</li></ul> 
You will:<ul><li>Make sure our projects, people, hours, and money all line up.
</li><li>Keep project and resource data clean and up to date.
</li><li>Drive the weekly rhythm of timesheets, allocations, and project health checks.
</li><li>You will work inside FIQ&rsquo;s internal project operations platform (and supporting tools) to onboard projects, track utilization and realization, reconcile actuals vs budgets, and ensure leaders have clear, reliable views of what&rsquo;s really happening across the portfolio.</li><li>This is not a traditional project manager role.</li><li>You won&rsquo;t run client status calls &mdash; you&rsquo;ll run the numbers and operations behind them.</li></ul> 
 Key Responsibilities:
 Project Controls &amp; Financial Tracking<ul><li>Own core project data: start/end dates, staffing, rate cards, budgets, and basic financial structure.
</li><li>Track and validate hours, cost, revenue, and margin across active projects.
</li><li>Monitor utilization and realization at individual, team, and project levels.
</li><li>Flag issues early (over-burn, low utilization, margin compression) and surface them to Delivery and Finance.
</li><li>Support leadership with recurring views on project performance and capacity.</li></ul> 
Time, Allocation &amp; Data Hygiene:<ul><li> 
Monitor timesheet completion and chase missing or incorrect entries across the company.
</li><li>Ensure hours are logged to the right project, phase, and task.
</li><li>Review who is allocated to what; identify over-allocated and under-utilized resources.
</li><li>Keep project, people, and allocation data in the system accurate and current on a weekly basis.
</li><li>Work with Delivery Leads and HR/Resourcing to align staffing plans with actual assignments.</li></ul> 
Operations Rhythm &amp; Coordination:<ul><li>Coordinate and support recurring ops meetings (e.g., weekly project health, utilization reviews, portfolio check-ins).
</li><li>Prepare and share the right views, exports, or dashboards so conversations are decision-focused, not data-hunting.
</li><li>Capture follow-ups and ensure changes (allocations, project status, target hours, etc.) are reflected back in the system.
</li><li>Help standardize how we report project health and performance across practices.</li></ul> 
 Systems, Reporting &amp; Continuous Improvement:<ul><li>Work daily in FIQ&rsquo;s internal project operations platform plus Excel/Sheets and reporting tools.
</li><li>Build and maintain simple, reliable reports and dashboards for leadership and practice heads.
</li><li>Spot patterns and suggest improvements to fields, workflows, checks, and reports that make project controls more robust.
</li><li>Partner with product/tech teams to evolve the platform based on real operational needs.</li></ul> 
Qualifications &amp; Skills:
Must Have:<ul><li>Bachelor&rsquo;s degree in business, Commerce, Finance, Engineering, IT, or a related quantitative field.
</li><li>4&ndash;6 years of experience in a project-based environment (consulting, IT services, engineering, PMO, or similar).
</li><li>Strong Excel / Google Sheets skills: Pivot tables, lookups (VLOOKUP/XLOOKUP), filters, basic formulas (IF, SUMIF, etc.).
</li><li>Practical understanding of: Utilization, realization, billable vs non-billable hours.
</li><li>Basic project financials: cost, bill rate, revenue, margin.
</li><li>Demonstrated experience maintaining trackers, dashboards, or internal systems as a source of truth.
</li><li>Comfortable reminding and chasing people for timesheets, updates, and data corrections.
</li><li>High attention to detail, strong follow-through, and a bias for clean, consistent data.</li></ul> 
Nice to Have:<ul><li>Experience with project / PSA / PMO tools (e.g., Jira, MS Project, Smartsheet, OpenAir, Kimble, or similar).
</li><li>Exposure to Power BI or other BI/reporting tools.
</li><li>Prior work with Finance / FP&amp;A / PMO teams on project reporting or margin analysis.</li></ul> 
What Success Looks Like in the First 90 Days:
By the end of Month 1:<ul><li>You understand FIQ&rsquo;s core project types, practices, and basic rate structures.
</li><li>You have a clear picture of: All active projects and who is working on what.
</li><li>Our current timesheet, allocation, and reporting flows.
</li><li>You are already: Running weekly checks on timesheet completion.
</li><li>Actively chasing missing hours and obvious data gaps with guidance.</li></ul> 
By the end of Month 2:<ul><li>You own: Weekly timesheet compliance view (who&rsquo;s late, who&rsquo;s missing, who&rsquo;s off).
</li><li>A basic utilization view across people and teams.
</li><li>Data hygiene has improved noticeably: Fewer missing or incorrect project allocations.
</li><li>More consistent hours logging and project updates.
</li><li>You&rsquo;re helping run at least one recurring ops meeting, bringing clear views and written summaries.
</li></ul>By the end of Month 3:<ul><li>You own, end-to-end: A weekly view of hours, utilization, and early margin signals per project.
</li><li>A simple, standardized &ldquo;traffic-light&rdquo; style status from a controls perspective.
</li><li>You&rsquo;ve suggested and implemented at least one or two improvements to our project controls process or reporting.
</li><li>Delivery and Finance teams see you as the go-to person for &ldquo;what&rsquo;s really happening&rdquo; across projects from an operations and numbers perspective.</li></ul>
