This paid position offers an exciting opportunity to develop your administrative skills while contributing to a thriving organization committed to excellence.Responsibilities<ul><li>Manage multi-line phone systems, answer inquiries with professionalism, and direct calls efficiently using phone etiquette.</li><li>Provide front desk support by greeting visitors, handling client communication, and maintaining a positive first impression.</li><li>Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents.</li><li>Perform data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace.</li><li>Assist with calendar management, scheduling appointments, meetings, and coordinating events for team members.</li><li>Support office management activities including supply ordering, inventory tracking, and basic bookkeeping with QuickBooks or similar software.</li><li>Deliver exceptional customer service by supporting client needs, managing correspondence, and providing timely responses to inquiries.</li></ul>Requirements<ul><li>Proven office experience with strong clerical skills and familiarity with office management procedures.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and spreadsheet management.</li><li>Excellent computer literacy including data entry, typing speed, proofreading, and technical proficiency in productivity software.</li><li>Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.</li><li>Exceptional phone communication skills combined with courteous phone etiquette for multi-line phone systems.</li><li>Bilingual abilities are highly desirable to support diverse client interactions.</li><li>Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is also valued.</li><li>Ability to handle confidential information discreetly while maintaining high accuracy in recordkeeping and filing.</li><li>Demonstrated time management skills with the capacity to multitask efficiently across various responsibilities.</li></ul>Join us as an Administrative Assistant and become an integral part of a vibrant team dedicated to operational excellence!
