POSITION PURPOSE</b></p><p>
The Accounts Payable (AP) Specialist I performs tasks to process vendor payments, maintain accounts payable records and maintain vendor files in an accurate and timely manner.</p><p><b>
ESSENTIAL DUTIES/ RESPONSIBILITES</b></p><div><ul><li>
Prepare and process approved vendor invoices.</li><li>
Match invoices with purchase orders in SmartSheet making sure all required information is present.</li><li>
Create purchase orders in Smartsheet as needed.</li><li>
Maintain all invoices electronically and physically, which includes filing, attaching checks stubs, remittance slips, etc.</li><li>
Process all invoices approved for payment and balance.</li><li>
Pursue vendor discounts.</li><li>
Hold and release sub-contractor retention in accordance with subcontract agreements.</li><li>
Balance check run batches and assist in checks runs.</li><li>
Coordinate any payroll deduction on invoices with Payroll.</li><li>
Communicate and follow up on any pending or outstanding invoices and PO&rsquo;s in a polite and timely manner.</li><li>
Gather and entry of certificates of insurance and W-9 forms.</li><li>
Reconcile AP vendor monthly statements in a timely manner and deliver them to Accounting Manager.</li><li>
Understanding of sales and Use tax rates for the jurisdictions in which we work.</li><li>
Update medical cash summary on daily basis and maintain documentation of all entry&rsquo;s.</li><li>
Help maintain SmartSheet and Emails.</li><li>
Organize and maintain all AP vendor files. Maintain archive files in accordance with company record retention policies.</li><li>
Assist with maintaining and uploading Material Requisition Logs.</li><li>
Assist with collection and entry of company credit card information.</li><li>
Assist with preparation of month-end reports.</li><li>
Assist other accounting department positions as needed.</li><li>
Assist with collection and entry of stone and tracking for Inventory</li><li>

This position does not have supervisory responsibilities.</li></ul></div><p><b>
REQUIREMENTS</b></p><ul><li>
1-2 years of construction accounting or general accounting experience preferred.</li><li>
Interpersonal skills to handle sensitive and confidential information. Position continually requires a demonstrated poise, tact, diplomacy and a positive attitude.</li><li>
Analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.</li><li>
Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.</li><li>
Interact and communicate with individuals at all levels of the organization and external clients.</li></ul><p><b>
COMPUTER/TYPING</b></p><ul><li>
Must have knowledge and proficient use of a variety of computer software applications in Microsoft Office suite, especially Outlook, Word and Excel.</li></ul><p><b>
LANGUAGE ABILITY</b></p><ul><li>
Must have a working knowledge of the English language, including reading, writing and speaking English.</li></ul></div><p></p>
