Job Summary: The Administrative Assistant supports the daily operations of a fast-paced manufacturing facility in South Bend, IN. This role provides administrative, clerical, and coordination support to ensure efficient production, shipping, and order processing activities. The Administrative Assistant reports directly to the Office Manager and works closely with both plant floor personnel and corporate support teams.Responsibilities:<ul><li>Use NetSuite to create, process, and close production orders and builds on a daily basis.</li><li>Coordinate and prepare daily shipments (freight scheduling) for multiple customers and delivery addresses, ensuring accuracy and on-time readiness.</li><li>Maintain accurate order status and shipment records, including tracking updates and confirmation of completed builds.</li><li>Verify product, quantities, and documentation prior to shipment to prevent errors or delays.</li><li>Communicate shipment readiness, issues, or changes with production floor personnel, supervisors, and internal support teams.</li><li>Handle routine production and shipping-related administrative tasks to support smooth manufacturing operations.</li><li>Duties may be split between other office personnel as deemed appropriate by the Site Manager or Office Manager.</li><li>Review packing slips and documentation and complete material receipts in NetSuite.</li></ul>Qualifications and Skills:<ul><li>Strong attention to detail</li><li>Strong organizational and time management skills</li><li>Good communication skills with both floor employees as well as support staff at headquarters</li><li>Ability to work independently, take ownership of daily responsibilities, and follow processes with minimal supervision</li><li>Adaptable and flexible; able to shift priorities as production demands change</li><li>Experience using NetSuite or a similar ERP system to process or close work orders, builds, or shipments</li><li>Prior experience in a manufacturing, production, shipping, or warehouse office environment strongly preferred</li></ul>Join us in creating an energetic work environment where your organizational talents make a real difference!
