What we are looking for
We are seeking to fill an Office Coordinator/Administrator role that will support our Merchandising Department. This role will report directly to the Executive Vice President &ndash; General Merchandising Manager and will work with a wonderful collaborative team of professionals. If you have strong office administrative experience and enjoy working with tight deadlines, in charge of projects and keeping an organized office this is the role for you. This role will also have an open communication on a daily basis with the entire merchandising team and work closely with the EVP to fulfill the objective of support the overall business. The successful candidate must demonstrate strong attention to detail, a can-do outlook, excellent organizational skills, great communication skills and a strong knowledge in retail. Most importantly, looking for someone with a good sense of humor.
Essential Functions<ul><li>Maintain VP&rsquo;s schedule and assist with department schedule.</li><li>Travel planner for VP and department as needed</li><li>Manage bookings and receipts</li><li>Create presentations weekly for management team and all hands meetings.</li><li>Create Hot title news for Go! Communications.</li><li>Assist buyers with merchandising the stores and documenting plan-o-grams (Spring.)</li><li>Ensure all imports and exclusive product is merchandised in fall showroom templates.</li><li>Answer 552 phone line and ACTS &ndash; includes photo reviews and product planning support in season (Fall.)</li><li>Organize, review, and complete store presentations via photo review process.</li><li>Product development: sample review and comment, document approvals, and sample tracking.</li><li>Create and maintain sample library.</li><li>Participate in process from product selection to purchase order.</li><li>Create product data and purchase orders for private label and licensed products (with approval).</li><li>Ensure all pricing meets our standard requirements (cost and retails).</li><li>Coordinate packaging products, edit for spelling and testing.</li><li>Royalty reporting.</li><li>Manage licensors: track and negotiate terms, distribute samples, provide insurance documents, organize agreements electronically and in filing system.</li><li>Assist accounting department with vendor payment approvals.</li><li>Participates in weekly team meetings.</li></ul>
Qualifications/Basic Job Requirements:<ul><li>
1-2 years of experience in a traditional retail environment preferred but not required.</li><li>
Retail Experience (any): have worked in retail stores in past couple of years is a big plus.</li><li>
Bachelor degree is a plus.</li><li>
Experienced in retail operations and industry lexicon.</li><li>
Service driven with proven ability to adhere to strict deadlines.</li><li>
Detail oriented and proactive with excellent written and verbal communications skills.</li><li>
Strong customer service skills.</li><li>
Experience in dealing with vendors and product is a plus.</li><li>
Strong organizational skill and ability to prioritize.</li><li>
Strong knowledge of retail stores.</li><li>
Assist with reporting.</li><li>
Prepare reports and distribute to team as needed.</li><li>
Strong analytical skills and comprehensive understanding of retail math.</li><li>
Proficient in Excel, PowerPoint, Word, and Outlook.</li><li>
Analytical skills, including retail math applications and analysis of sales data.</li><li>
Ability to work evenings and weekends during peak season.</li><li>
Quick learner of in-house database.</li><li>
Ability to recognize priorities and deadlines and balance the needs as needed.</li><li>
Ability to develop and maintain collaborative relationships with multiple levels/departments within the organization.</li><li>
Ability to work with and communicate clearly to vendors, operators and employee managers.</li><li>
A level of reliability on experience and ability to take direction and work well with others.</li><li>
Must be able to lift 30 lbs.</li></ul>
