Position SummaryThe Purchasing Specialist is responsible for sourcing, purchasing, and coordinating the delivery of maintenance, repair, and operating (MRO) supplies required across Gold Creek Foods&rsquo; processing plants and administrative locations. This role ensures timely material availability, supports facility and department needs, maintains strong supplier relationships, and contributes to cost-effective purchasing operations.Key Responsibilities Procurement &amp; Purchasing:<ul><li>Create purchase orders for required MRO materials, tools, and supplies.</li><li>Order materials in a timely manner to meet maintenance and production schedules.</li><li>Obtain competitive quotes and negotiate pricing when appropriate.</li><li>Secure and maintain vendor documentation and manage vendor setup requests.</li><li>Provide required documents to vendors (tax exemption, insurance, tax ID, etc.).</li><li>Obtain vendor audits, Letters of Guarantee, COAs, and other documentation required for internal and customer audits.</li></ul>Inventory Control<ul><li>Monitor inventory levels to prevent shortages and overstocks.</li><li>Support cycle counts and ensure ERP/CMMS inventory records remain accurate.</li><li>Partner with warehouse staff to reconcile receipts, discrepancies, or damaged goods.</li><li>Track availability of critical operational items and escalate risks when needed.</li></ul>Supplier &amp; Logistics Coordination<ul><li>Monitor and communicate order confirmations, shipment notifications, and delivery timelines.</li><li>Resolve supplier issues, including delays, damaged shipments, and invoice discrepancies.</li><li>Maintain productive vendor relationships focused on reliability and value.</li></ul>Internal Service &amp; Communication<ul><li>Support maintenance and operations teams by responding to material requests.</li><li>Provide timely updates on order status, delays, and expected delivery dates.</li><li>Assist with urgent or expedited orders when operational needs arise.</li></ul>Cost Management<ul><li>Identify cost-saving opportunities through alternative vendors, product consolidation, and competitive quoting.</li><li>Review vendor billing regularly and collaborate with Accounts Payable on discrepancies.</li><li>Develop and maintain inventory min/max levels to balance cost, efficiency, and uptime.</li><li>Use preferred suppliers to maintain specification standards and pricing control.</li><li>Adjust facility purchase requests to reflect lowest-cost and preferred-vendor options.</li><li>Reduce inbound freight expenses through proactive communication and inventory management.</li></ul>Skills &amp; Competencies<ul><li>Attention to Detail</li><li>Organization &amp; Time Management</li><li>Problem Solving</li><li>Systems Proficiency (ERP, CMMS, Excel, Outlook</li></ul>Qualifications Required:<ul><li>High school diploma or equivalent.</li><li>1&ndash;3 years of experience in purchasing, inventory, supply chain, or administrative support.</li><li>Experience using ERP/CMMS systems (e.g., SAGE, MVP).</li><li>Proficiency in Microsoft Excel and Outlook.</li><li>Accurate data entry skills.</li><li>Strong organizational and communication abilities.</li><li>Ability to multitask effectively in a fast-paced environment.</li></ul>Preferred<ul><li>Experience in manufacturing, maintenance, warehousing, or industrial supply environments.</li><li>Familiarity with MRO materials, industrial components, or maintenance processes.</li><li>Basic understanding of procurement terminology and supply chain concepts.</li><li>Associate degree.</li><li>Supply chain or manufacturing-related certifications.</li></ul>General Safety StatementAll employees are expected to work safely at all times by following all company safety policies, procedures, and regulations.
