Job Summary We are seeking a dynamic and highly organized Personal and Administrative Assistant to join our team! This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace.Duties<ul><li>Manage and coordinate calendar appointments, meetings, and personal schedules with precision and efficiency</li><li>Handle front desk responsibilities, greeting visitors, managing multi-line phone systems, and directing calls with professional phone etiquette</li><li>Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools</li><li>Provide customer service support by addressing inquiries promptly and courteously via phone or email</li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage invoices</li><li>Support clerical tasks such as proofreading documents, preparing reports, and managing correspondence</li><li>Oversee office supplies inventory, order necessary materials, and ensure the office environment remains tidy and functional</li><li>Coordinate personal errands or tasks as needed to support executive or team members&rsquo; schedules</li><li>Maintain confidentiality of sensitive information while ensuring all administrative processes run smoothly</li></ul>Experience<ul><li>Previous office management or administrative experience in a fast-paced environment is highly preferred</li><li>Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software</li><li>Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities</li><li>Bilingual abilities are a plus for communicating with diverse clients or team members</li><li>Experience in customer service roles or as a receptionist&mdash;particularly dental or medical reception&mdash;is advantageous</li><li>Familiarity with multi-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks is desirable</li><li>Demonstrated ability to handle clerical tasks like proofreading, filing, and maintaining accurate records with attention to detail</li><li>Strong time management skills combined with professional phone etiquette and excellent interpersonal communication</li></ul>Join us in this energetic role where your organizational talents will shine!
