This position offers an exciting opportunity to be at the heart of our organization&rsquo;s success, supporting executive functions with enthusiasm and precision.Duties<ul><li>Manage complex calendars, schedule meetings, and coordinate appointments with attention to detail and priority.</li><li>Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and professionalism.</li><li>Handle incoming calls using multi-line phone systems; direct inquiries with excellent phone etiquette and customer service skills.</li><li>Organize files, maintain records, and oversee document management using digital tools such as Google Workspace and Microsoft Office.</li><li>Assist with travel arrangements, including booking flights, accommodations, and preparing itineraries for executives.</li><li>Support office management tasks such as supply ordering, maintaining office equipment, and overseeing front desk operations.</li><li>Perform data entry, bookkeeping using QuickBooks, and basic clerical tasks like filing and photocopying to ensure seamless office functioning.</li><li>Provide personal assistant support as needed, including calendar management and task prioritization for busy executives.</li><li>Deliver exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email.</li><li>Assist with the management of residential and/or commercial rental properties, including tenant communications, scheduling maintenance, and tracking lease activity.</li><li>Support various business projects from inception to completion &mdash; conducting research, managing timelines, and coordinating with vendors and third parties.</li></ul>Skills<ul><li>Proven experience in office management or administrative roles with strong organizational skills.</li><li>Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.</li><li>Strong typing skills combined with meticulous proofreading abilities to produce error-free documents.</li><li>Familiarity with multi-line phone systems, front desk operations, and phone etiquette for professional communication.</li><li>Bilingual capabilities are a plus to effectively serve diverse clients and team members.</li><li>Experience in clerical tasks such as filing, calendar management, record keeping, and document organization.</li><li>Knowledge of bookkeeping software like QuickBooks for basic financial recordkeeping; experience with medical or dental receptionist duties is advantageous.</li><li>Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.</li><li>High attention to detail and discretion with sensitive information.</li><li>Ability to work independently and manage competing priorities.</li><li>Customer service orientation with a friendly demeanor; ability to handle sensitive information discreetly.</li><li>Local to Honolulu; reliable transportation preferred</li></ul>Join us to be an integral part of a vibrant team where your organizational talents will shine!
