JOB DESCRIPTION 


Job Title: General Clerk

Reports to: Service Manager

FLSA Status: Non-exempt

Division: HPC

Department: Admin

Union: ILWU

Locations: Kona 


POSITION SUMMARY: Under the direction of the Service Manager, the General Clerk performs a variety of clerical duties. The General Clerk scans all accounts payable invoices, answers all telephone calls, and performs other clerical duties. 


ESSENTIAL FUNCTIONS:

<ul><li>Answers phones for Parts department when all the counter people are busy or unavailable. Answers calls and takes messages for the counter people, may help with easy questions or parts availability. Answers the phones for the Rental and Service departments, as needed.</li></ul>
<ul><li>Informs customers daily, before 10am, that their backorder has been received and is on will call.</li></ul>
<ul><li>Scans accounts payable invoices and inputs the proper codes and scans all parts delivery documents.</li></ul>
<ul><li>Performs cashier duties for the Branch.</li></ul>
<ul><li>Makes daily deposits and cash collection reports for accounting. Balances cash box daily and maintains the proper cash balance. Summarizes daily charge sales and prepares a cash sheet. Maintains petty cash box and replenishes as needed.</li></ul>
<ul><li>Opens and closes work orders for repair jobs, inputting necessary detailed data into the computer. Files jobs in a numerical file and prepares job jackets and time cards. Files documents in appropriate job jacket and prior to closing job, checks for errors. Inputs and approves time for Technicians.</li></ul>
<ul><li>Orders supplies needed for repair jobs and shop use and issues purchase orders to vendors involved. Enters purchase orders and cost to job.</li></ul>
<ul><li>Works with the Rental department to transfer calls to the appropriate person and when customers need to sign documents or pick up equipment when their representative is unavailable.</li></ul>
<ul><li>Does the mail daily and distributes to the proper person or department.</li></ul>
<ul><li>Performs other duties as assigned.</li></ul></div> 


EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

<ul><li>Must have a high school diploma or equivalent.</li></ul>
<ul><li>Must have a valid Drivers License with a good driving record.</li></ul>
<ul><li>Must have PC skills.</li></ul>
<ul><li>Must have the ability to communicate clearly, both orally and in writing.</li></ul></div>
