This exempt position is responsible for reviewing and approving financial information within new client matter intake and for tracking, maintaining, and managing client rates and discounts within the legal billing system (Elite 3E). The Senior Financial Billing Rates Analyst is responsible for ensuring that client and matter rate structures are accurate across all systems and in accordance with agreed upon outside counsel guidelines and engagement letters. This individual will support and interface with multiple billing attorneys in different practice areas within our Haynes and Boone offices across the globe. This person will also communicate with multiple Business Services departments within the firm including Client Intake, Pricing, Billing, and Finance as well as with firm clients while maintaining confidentiality of client and firm matters.
Essential Duties
<ul><li>Review and approve all new client matter intake forms and ensure accurate setup in Elite 3E including billing arrangements, rates, discounts, and payment terms.
</li><li>Review and maintain rate and discount information on clients and matters within Elite 3E.
</li><li>Analyze the firm's rate structures, ensuring accuracy and compliance with client agreements by proactively tracking and managing client rate expirations and/or deadlines to ensure timely submittal of rate changes. Facilitate conversations with our Partners to ensure they are aware of client deadlines and are provided with the necessary information to take action with our clients.
</li><li>Ensure rate and discount requests are approved per the firm&rsquo;s financial operational policies.
</li><li>Enter and maintain timekeeper standard rates (and other special rates) within Elite 3E.
</li><li>Regularly review timekeeper and rate information on e‐billing sites to ensure accuracy.
</li><li>Compile client rate reports and facilitate conversation with attorneys and clients regarding rate changes.
</li><li>Collaborate with Business Development and Pricing to respond to RFPs. Partner with Pricing to ensure that negotiated rate arrangements are set up and maintained in accordance with the agreed terms and conditions.
</li><li>Ensure compliance with existing firm billing and intake policies and procedures, recommending changes when necessary.
</li><li>Ensure compliance with meeting client, firm, and attorney deadlines around rate increases, rate reporting, and new client matter intake.
</li><li>Review, assess and ensure compliance with Outside Counsel Policies and Procedures.
</li><li>Review and update client and matter special handling requirements around rates and rate increases.
</li><li>Receive and respond to client questions and inquiries concerning billing rates and discounts.

Reporting Relationship
The Senior Financial Billing Rates Analyst reports directly to the Senior Manager of Billing and collaborates with other Business Services departments outside of Billing such as (but not limited to) the Intake Team, the Pricing Team, and the Business Development Team. Additionally, the Analyst will have routine communications with the firms partners. This position does not supervise staff. 
 
Qualifications
Knowledge/Experience
Three to five years of relevant experience is required. This individual must have proficient knowledge of Elite 3E and Microsoft Office applications, primarily Excel, Word and Outlook. A solid understanding of the billing and intake processes in the professional services industry (ideally within a law firm environment) is preferred. A broad range of technical ability, with a demonstrated aptitude and willingness to learn new software/applications is needed for this position. Experience working with Intapp Terms and Intapp Intake is a plus. 
 
Skills
The Senior Financial Billing Rates Analyst must have superior attention to detail, time management and organizational skills. Additionally, the ideal candidate must possess strong analytical skills and be able to effectively multi-task and prioritize work to meet aggressive deadlines. The individual must possess strong client focus, as well as strong written and verbal communication skills, with the ability to work both individually and as a member of a team. The ability to work with many different types of personalities at all levels of organization is a must. 
 
Education
A degree in accounting, finance or related field is required. Equivalent experience will be considered.
Physical Demands
Must be able to move around the office up to 15% of the time; Remains stationary at least 85% of the time. This position operates computers and other office productivity machines (e.g., copier, printer, etc.) on a regular basis. Senior Financial Billing Analyst

The Collections Manager is an exempt position responsible for co-managing the firm&rsquo;s collection&rsquo;s function and ensuring the efficiency, accuracy, and strategic alignment of revenue‑cycle operations. This role provides day‑to‑day management and long‑term development of the Collections Team, while overseeing firm-wide collection performance. The Collections Manager partners closely with senior Finance and Accounting leadership, attorneys, and firm management to protect and improve the firm&rsquo;s investment in client services (ICS). The position plays a key role in designing and implementing collection strategies, policies, analytics, and risk‑management practices.
Essential Duties
Collections Strategy &amp; Operations
<ul><li>Oversee and execute the firm&rsquo;s collections strategy.
</li><li>Consistently review policies and procedures around current processes to determine effective and efficient work methods to maximize collections and ensure compliance with firm&rsquo;s policies and all relevant regulations. Monitor portfolio performance and address at‑risk accounts.
</li><li>Manage formal escalation frameworks for high‑risk matters.
</li></ul>Analytics, Reporting &amp; Compliance
<ul><li>Prepare collections analyses as needed and lead the development of reporting and metrics to support the firm&rsquo;s collection efforts.
</li><li>Monitor trends in account activity to proactively spot &ldquo;at risk&rdquo; clients at an early stage. Oversee cleanup of unapplied cash and invoice discrepancies.
</li><li>Co-lead firmwide collections pushes grounded in ICS analyses.
</li></ul>Stakeholder Engagement
<ul><li>Regularly (monthly) meet with assigned Billing Attorneys to review outstanding WIP and AR to ensure timely billings and collections
</li><li>Work with Billing Attorneys, Section Chairs, Department Administrative Partners, and the Billing and Collections Committee to monitor and resolve delinquent accounts receivable issues.
</li><li>Work closely with other accounting management team members to implement processes and policies that contribute to accurate revenue cycle accounting.
</li><li>Serve as a resource on collections policies and best practices.
</li></ul>Team Leadership &amp; Management
<ul><li>Supervise the work of the Accounts Receivable Coordinators to track the firm&rsquo;s ICS, follow up with attorneys and clients for payment questions, and escalate issues when needed.
</li><li>Set performance goals, conduct coaching, and ensure high-quality service.
</li><li>Foster a culture of accountability, collaboration, and continuous improvement.
</li><li>Provide consistent accounts receivable training to the Coordinators.
</li><li>Train new attorneys and secretaries on Collections Processes.
</li><li>Establish and maintain an effective escalation process for severely delinquent and high-risk client accounts.
</li><li>Provide support when necessary with the clean-up of unapplied receipts, trust transactions, short paid and overpaid invoices and charge backs.

 Salary Range
 
 
 
 The expected salary range for this position is $55,000.00-$65,000.00. Please note that the final offer amount may vary based on experience and skillset of the selected candidate.
 
 
 This non-exempt position provides effective client service, hospitality, and general office support with a variety of clerical tasks. The receptionist will be responsible for answering and routing incoming calls, greeting and escorting clients and visitors, reserving conference rooms and visitor offices, coordinating catering for meetings, liaising with building management, and providing general office support.

Should also have general knowledge on telephone etiquette. Experience managing a multi-line telephone system is important.

 The Receptionist position requires typing of 50+ WPM. Excellent verbal and written communication skills, organizational skills, and customer service driven are essential.
