POSITION PURPOSE
An HBW Project Coordinator is responsible for fully supporting up to three (3) Project Managers. The Project Coordinator works with Project Managers, Superintendents and Project Accountants to complete construction projects. Project Coordinators are responsible for handling multiple construction projects concurrently.
PRINCIPAL DUTIES AND AREAS OF RESPONSIBILITIES
Project Planning
<ul><li>Collaborates with the Project Managers to ensure all needs of each project are well-defined.
</li><li>Sets up and maintains electronic and physical project files.
</li><li>Ensures all electronic templates are accurate and complete.
</li><li>Prepares contracts including Subcontract Agreements, Owner Contracts, and Vendor Agreements.
</li><li>Obtains necessary job permits, bonds and insurance certificates.
</li><li>Coordinates with the Superintendents to determine what standard items will be needed on the job site (i.e., job site posters, dumpsters, laborers, etc.).
</li></ul>Project Execution Assistance
<ul><li>Acts as a liaison between the Project Manager, clients, architects, engineers, and subcontractors.
</li><li>Coordinates construction project documentation such as submittals, requests for information, contracts, and certificates of insurance.
</li><li>Organizes and prepares owner change orders, subcontractor change orders, requests for information, purchase order agreements and updates corresponding logs.
</li><li>Follows up with subcontractors on submittals and maintains the submittals and logs.
</li><li>Prepares Project Managers for progress meetings including assembling meeting packets, as well as preparing and distributing meeting agendas and minutes.
</li><li>Logs daily field reports.
</li><li>Ensures Leadership in Energy &amp; Environmental Design (LEED) accreditation compliance by maintaining all LEED documents for submittal to LEED online.
</li></ul>Post-Project Assistance
<ul><li>Prepares the Operation and Maintenance Manual.
</li><li>Prepares and coordinates any other documents necessary for job close-out.
</li><li>Closes out bonds.
</li></ul>QUALIFICATIONS
Knowledge, Skills, and Abilities
<ul><li>At least three (3) years of administrative experience required, preferably in a construction environment.</li><li>
High school diploma required; college degree preferred.</li><li>
Excellent organization, communication, and problem-solving skills with the ability to prioritize assignments.
</li><li>Able to handle multiple tasks and projects concurrently and work under pressure to meet required deadlines.
</li><li>Independent self-starter and good listener who can discern required steps to achieve goals without specific task direction.
</li><li>Thrives in a friendly, fast-paced, team-oriented environment where accountability, work ethic and a &quot;can do&quot; attitude is a necessity.
</li><li>Proficiency with MS Office Suite, Dropbox, and data entry keyboarding skills with a high degree of accuracy.
</li><li>Working knowledge of Procore Project Management Software a plus.
</li><li>LEED project experience preferred.
</li></ul>Physical Qualifications<ul><li>
Must be able to lift/move up to 35 lbs.</li><li>
Ability to effectively verbally communicate and receive direction.</li><li>
Frequently required to walk, sit, and use hands.</li></ul></div>
